    How do other institutions handle this scenario in Cayuse Sponsored Projects (4.0)?

     

    We have new faculty members joining our university in August, but they are submitting proposals now (June/July) for external grants. We are not able to create a user account in Cayuse until we have their employee ID (which is Banner ID for us), university email address, and university unique identifier (which is the Banner short name for us). This information will not be available until their first day of employment in August.

     

    How do you add the new faculty member to the research team (and how do you add them to the routing chain) if they do not have a user account created (and active) in Cayuse?

    Hi, Christine--

    Our policy here is that, once an incoming faculty member has signed their offer letter, they're eligible to submit proposals through us - if for no other reason than that it's typically less work for us to get HR to expedite processing their paperwork so we can get them into Cayuse and submit a proposal here than it would be if they submitted the proposal at their original institution and we then had to transfer it.

    We don't require the employee ID to put new investigators in Banner - you should check to see whether you can override or remove that requirement. Normally when we've got a new investigator who wants to submit a proposal before their official start date, we inform the department chair and Academic Affairs, and they help us expedite the HR paperwork so they can get their OU email address and NetID - which we do require to put someone new in Cayuse. Usually, that process takes a few days to a week. On a handful of occasions since we got Cayuse in 2018, we've had to use an alternative e-mail (after verifying that it will be viable for communications from the system), but we normally prefer to wait until the incoming investigator has the necessary OU credentials.

    We recently had this happen for the first time since deploying Cayuse and had to go the alternate email route. I would say while this is doable, it tended to be confusing for the grants office! We are hoping we can set up a policy and get cooperation for getting things expedited.
