  • 1.  Protocol Reports-What am I looking at and why don't I see my expected info?

    Hi all.  Following the Cayuse conference and trying to work with the info provided at the searches and reports session, I am trying to look at data inside the system.  For anyone who has worked with the protocol reports tab in Animal Oversight, I am looking for some insight on what I am actually deeing.

    Using the filters below, I think I should be looking at all submissions that have been approved between the end of June and the beginning of October (July-September) but when I run the report it only shows a portion of the submissions that I think should be there based on our self-managed agenda that covers FCR amendments, new protocols/TRs, VVCs, Administrative amendments, and Annual Reviews.

    In this particular report it pulled 40 items compared to the 175 expected.


    A potential explanation is that this is only pulling the protocols and attached follow-ons that both fall in that approval time frame and so if the original protocol was approved in a different time but an amendment was approved within that time frame it isn't shown in the report.

    Thoughts?  Is there a better way to try to get a submissions over time or approvals over time report out of the system that someone else has found using the reports and filters function in the system?

    Using the Amendment search function with similar settings:  it looks like you may be able to pull the total number of amendments approved over the time period and it seems to line up more accurately.


    Similar if you use Annual review search with the Renewal finalization date range.

    Hi Guy,

    It looks like you talked yourself through it and figured it out!  Your surmisal that your first search was limiting results to actions on protocols that were initially approved within the given timespan was accurate.

    At our institution, we also have to choose "Approved (without stipulation)", rather than "Approved", or nothing will show in our search results.

    My conclusion based on the above info then is that at least in the present system, there is no single pathway to gather submission approval metric data in a single report.  The seeker will need to go to the amendment search to get a subset, the annual renewal search to get a subset, and the protocol search to get a subset and combine those manually (while extracting and follow-on submissions that fall in the determined range to avoid double counting).  You would then likely have to look at the ID to determine on the protocol data if it was a new protocol or a three-year renewal.

    Accurate?

    I haven't figured out a way to do it within the system, no; I rely on a manually curated Excel file.
