  • 1.  Human Ethics Decision letters, work around for editing?

    From what I have read in these discussion threads, it isn't possible if a mistake went out on a decision letter. What sort of work-arounds have people used?

    Our normal workaround for this is to edit the letter (which can be a bit tricky sometimes w/ the PDFs), email it to the PI w/ a note that it'll be uploaded to Cayuse HE as well, and then upload a copy of the revised letter and email to the Attachments tab on the Submission Details section. 

    This isn't ideal because you have to know to look for the letter on the Attachments tab, otherwise you'll just presume that the last letter on the Letters tab is the correct one. But on the IRB side we know to always look on the Attachments tab if anything is wrong with the letters on the Letters tab so it hasn't been too much of an issue yet. But it's definitely not "fool-proof" and certainly an annoyance to have to do all the editing and emailing outside the system.

    This is my understanding, as well. Our current work around is to manually edit the letter/PDF, with notes included about what was updated and to attach the revised version in the attachments section on the submission details page. It isn't a great solution because there isn't an easy way to know when there is a revised letter attached but it isn't very common. We'd really only use this for very minor corrections. In other situations, we may require a modification be submitted just to get to another official letter being sent out (with explanations in the Modification justification).

    Hi Tina,

    Unfortunately, my staff requests that the PIs submit a modification if an approval letter went out when the status was supposed to be Minor Stipulations. We explain the error on our part and explain what still needs to be addressed in the application. We then make sure that the approval letter for the modification includes the correct information.
