  • 1.  Proposal Initiation/Intake Form

    Good afternoon all,

    I am directing this towards any pre-award administrators whose institution uses a proposal initiation/intake form to start a grant proposal for research faculty. Such form typically addresses basic project data such as; PI contact info, sponsor, FOA, anticipated budget amount, deadline(s), etc.

    If your institution uses this, would you be willing to share your thoughts on the form's effectiveness / pros and cons? What works, what hurts? We are looking to collect some data on this and would love anyone's feedback!

    Hi, Danny--

    We used an intake form when I was at Colorado (and you can see the current version of that form here: https://www.colorado.edu/ocg/sites/default/files/attached-files/ocg-120_proposal_submission_request_psr_form.pdf). In my experience, it didn't contribute much to the process, perhaps because at least 75% of the time it was the proposal person filling out the form (or most of it), rather than the faculty member: meaning that I'd either already gathered the information from a conversation with the investigator(s), or was using it as a means of getting information I didn't have. In my estimation, it would've been simpler if we'd done there what we do here at Oakland, which is enter that information into our PRF in Cayuse as we get it from the investigator (and again, at least 75% of the time, we're the ones starting that record: investigators can do so, but most don't, and we're really OK with that).

    Danny,

     

    We manage that process through Cayuse SP.   The faculty complete the SP records (first page)  and the research administrators see it in the queue.  The proposals are assigned to the respective research administrator.
