Personnel Action Form Reminders???

Hello everyone!  I hope you all had a nice Valentine's Day and you're looking forward to a long weekend to celebrate President's Day.  My institution doesn't celebrate President's Day, so I'm jealous...lol!

I wanted to know if/how you might be using Cayuse to indicate when personnel action forms PAFs need to be adjusted.  Is there somewhere that allows you to put in dates to remind you to for example change the effort for a PI on a PAF?  It seems there's something like this for reports but I don't use it and don't know if that same functionality would work for a PAF.  Am I making sense?  Any feedback you have would be appreciated, even if it's, "Audrey, there's no such functionality...you're dreaming."  Thanks!  -- alwf

That's genius.  Obviously, I hadn't thought of it, but I will poke around and see what I can figure out.  This would save so much trouble.

Jennifer mentioned using the Event functionality which I have to admit we don't use.  Perhaps I need to take a look at that.  Check it out if you're interested and have the time and do let me know if you have any other suggestions.  Thanks so much for your input, I appreciate it!

    Audrey,

This is a great idea!!  We try to handle it in new award meetings, but it hasn't always worked out well.  I like the way you think!

    Cheers,

Hi, there, and thanks!  I'm in the pre-award office WorkDay has asked to identify pain points and I know PAFs have been a struggle for post-award and our PIs and their administrative people.  We're just in the beginning stages of planning to implement WorkDay and PAFs came up.  So I assume PAFs are discussed in the first post-award meeting, but will find out.  It would be great for post-award to be able to set up PAF reminders in Cayuse.  Thanks for your input!

    Hi,

Yes, I am also in a pre-award office, but we continue working with the PIs programmatically throughout the life of the project.  Partnering with our post-award office, we offer new award meetings as a joint session and also invite the departmental admins., but these forms are still frequently submitted late.  I like the idea of using the system as another tool to keep the entire team on the same page.

    Cheers,
    Charna

    Love seeing the creative ideas!

I'm wondering if some of the new functionality of SP4 could be harnessed, here.  I understand there is/will be the ability to route awards, and if you included a "team" (even if a team of 1) that takes care of PAFs, they could be on the chain...

Well, I'm sure Cayuse folks are listening/reading and will take this into consideration...hopefully.  Glad to be able to brainstorm here.  Thanks!

Hi, there!  Hopefully Cayuse folks are listening/reading here and it can be incorporated somehow.  It's truly a pain in the you know what for our faculty and their support staff.   Thanks for your reply!

We do not currently track this in Cayuse now but I would think you could use an Event with a due date as a tickler to make the change.  I know in 4.0 there will be tasks with Due Dates as well so you could keep that same functionality from 3.9 to 4.0 which is nice. You could add the person to the Event that would need to make the change if it is not the person who is creating the event.

Thanks, Jennifer!  We'll take a look at the Event functionality and see if that works.  It wasn't expressly made for PAF reminders, so not sure if it will be cumbersome to use, but it's definitely worth checking out.  Thanks again.
