    One of our members left and I removed him from the IRB in Cayuse; however, he shows up under attendance as "Guest" with DO NOT UNLOCK next to his name. Has anyone else had this and do you know why this is?  I also had to make sure to remove his email from the Agenda Letter prior to sending out.

    I've noticed something similar when an IRB member is removed after a meeting is already created in Cayuse. The member gets moved to guest for some reason. I'm able to click the X in the Attendance tab of the Meeting Details page to remove them from the attendance and email recipients lists. I haven't seen the DO NOT UNLOCK though.

     

    I think that if you remove the board from the meeting – or delete the meeting and start fresh, they won't appear. But it has been awhile since I've tested things out.

    Hi Leigh,

    Thanks for bringing this to our attention! I've done some testing and confirmed that the behavior you are seeing is how the system currently works. Now, I want to emphasize that I wouldn't say this functionality is "working as intended". Because after talking with the Product Team about this, we agree this is not a convenient way for this to work. 

    When a Meeting is created, it will populate the Attendees tab of the meeting space with the IRB roster members as it exists at that moment. However, the Attendees tab in a Meeting can be edited after that to customize who appears on the Attendees tab for that meeting. This way changes you make will be saved, and not overwritten by any changes made to the IRB Roster auto-updating for pre-existing Meetings. But, we do agree that when removing someone from the IRB Roster, you shouldn't have to manually delete them from all pre-existing Meetings (from the Guest area or elsewhere).

    With this in mind, we are creating enhancement tickets to address how changes to the IRB roster affect the Attendees tab of pre-existing Meetings. This would include either removing or adding members (which also doesn't auto-update pre-existing meetings) to the IRB Roster and how that carries through to the Attendees tab of pre-existing Meetings.

    Now as far as addressing what you are seeing currently, I can confirm that when you remove a person from the IRB Roster, they should be moved to a Guest area of the Attendees tab of any pre-existing board meeting. I was not able to reproduce the "DO NOT UNLOCK" next to the removed person's name. There is a possibility that the person's name in Admin Module was updated to include something like that (e.g., sometimes "duplicate" is added to an accounts last name). If you are still seeing this, I would recommend taking screen shots and submitting a Support ticket, so we can determine why you are seeing the Unlock part. I will also add once you click the "X" to the far right of a person's name in the Attendees tab of a Meeting to successfully remove them from the meeting, the system should automatically remove the email address from the Agenda email. If you have deleted someone from the Attendees tab of the Meeting and are still seeing their email in the Agenda, that would also be something to screen shot and send to Support.

    Unfortunately, my recommendation on dealing with roster changes as the system currently works isn't anything groundbreaking. Until we get HE working a bit smarter on this, when you add/remove someone from the IRB Roster, the next step will need to be to check any pre-existing meetings and make the same add/remove to the Attendees tab for each Meeting.
