  • 1.  How are others handling IACUC disposition notification?

    We are currently in the implementation phase and were advised that there is no process in place for notifying PIs of the committee's decision.  Since this is a regulatory requirement, it would be preferable to be able to do this within Cayuse rather than outside of the system.  For those who are working with USDA-regulated species, how are you handling the required notification?

    Hi Nadia,

    If you were advised by Cayuse that no notifications go out, then it sounds like a feature has been removed from more modern versions?! It may just be a misunderstanding, in which case, PIs receive an email alert when modifications are requested and also when a submission is approved.  We haven't disapproved anything outright, so I'm not sure what sort of notification they would receive in that case.

    Thanks, Cheryl - you are correct that there is an "approval" notification process built into the system, as well as a method for notifying PIs that there are comments to be addressed.  I guess I should have been clearer in my initial description of our issue!  Our concern with this is how to ensure compliance with the USDA requirements for investigator notification (see below).  

    We are aware of institutions being cited for failure to comply with the notification requirements.  Since our current system (which involves explicitly categorizing the committee's decision using the language from the regulations) has gone through multiple USDA inspections without concern, we're cautious about change.  We're wondering if we need to maintain our existing notification system to ensure regulatory compliance.

    So I guess the question should be focused on those working with USDA-regulated species and is perhaps more precisely "Have your VMOs accepted the notifications built into the Cayuse system, or are you delivering these notifications outside the system?"

    Hello Nadia,

    As Cheryl stated in the previous email we use the Cayuse email notification asking for (protocol revisions request, revisions submitted by PI and approval notifications). In the very rare case that the IACUC asks for a peer review or if the IACUC would allow a "test pilot study" before approving the study to continue, we add this information as a note "stipulation" that the PI must attest to as a rebuttal reply within the protocol. This allows us to go back and view all the notes in "protocol revision search". 

    In these rare cases we also will fall up with an email to the PI.
