The Research Foundation for SUNY (RFSUNY) at Downstate Health Sciences University is looking for a Grant Manager to join the Office of Research Administration.
Reporting up to the Director of Sponsored Programs Administration, the Grant Manager will be responsible for the post-award administration of a portfolio compiled of multiple departments and Principal Investigators to ensure compliance with sponsor terms and conditions, as well as institutional policies and procedures. This position is a hands-on grants management role that requires extensive familiarity with all aspects of post-award management.
Knowledge of sponsor award requirements is a crucial component of the job. Regular coordination and communication with Investigators, administrators and the pre-award team are required.

Responsibilities:
- Create sponsored and cost share accounts in the financial system; update system based on budget modifications / amendments, no-cost extensions, etc.;
- Review application, Notice of Award, Contracts and Agreements for award terms and conditions and apply any restrictions or budgetary controls to the account;
- Gather all internal documentation to ensure compliance prior to account setup;
- Ensure personnel are appropriately allocated to the project, in conjunction with the PI, and according to the terms of the award;
- Monitor payroll transactions to ensure the salary costs and cost share expenses are appropriately applied according to sponsor guidelines and institutional policy;
- Monitor committed effort versus awarded effort and compliance with sponsor salary limitations, when applicable;
- Review and approve cost transfers in accordance with sponsor terms and conditions;
- Monitor expenses for items that require prior approval and/or are high risk to ensure allowable, allocable and reasonable according to institutional and federal policies;
- Review and monitor accounts for balances, cost overruns and burn rate;
- Coordinate the removal of and/or transfer of unallowable costs;
- Review and approve budget modifications;
- Assist payroll in clearing suspense charges for sponsored projects;
- Participate in the subreceipient monitoring process: review and approve subaward invoices; ensure timely receipt of final subaward invoices and confirm that purchase orders for subawards are closed in the financial system;
- Review all activity on sponsored awards, payroll and OTPS, on a regular basis;
- Confirm remaining balance for progress reports; provide final balance for carryover requests; review line item budgets; ensure the timely closeout of grants and contracts in accordance with sponsor requirements; confirms that award can be closed in the financial system.
Qualifications:
Required:
- A bachelor's degree and 2+ years of related experience or four+ years of related research administration experience;
- Knowledge of grants, cooperative agreements and contracts a must;
- Knowledge of federal requirements, i.e. Uniform Guidance, required;
- Experience within a university and/or academic medical center;
- Experience managing the lifecycle of federal and state awards;
- Experience within a university and/or academic medical center.
