    ​​I am happy to participate in the Beta Test for Cayuse Connect!  I think this will be a very helpful community.  Due to COVID-19, all of our training and workshops for new faculty and staff is moving online.  I am in the process of developing online training materials and videos for how Cayuse at UA.  I would love to see what other Universities are doing for training online regarding Cayuse.  Can anyone share links to their pages that I can check out?

    We've been using video training for Cayuse instructions since just after launch and are now moving toward getting many of our other training topics into a video format.   All of our videos are restricted access but if you reach out to me via email I can see about getting access to a few samples for you.

    We've also started using Microsoft Forms to create brief quizzes to accompany the videos.

    Greetings!   Yes, the quizzes help ensure staff are getting the correct information from the video.   By using Microsoft Forms, we can also get some basic analytics.  So for example, if a significant number of people always get question number 3 wrong, we can look to see if perhaps the wording of the question is poor or if the information in the video is not as straight forward as we thought.    We also use the quiz to document that staff have actually completed the training topic since we have a monthly required topic.    If we were doing the training in person there would be a sign in page so the quiz counts as the sign in page.

    Plus, Microsoft Forms is free!

    I think if I included quizzes about Cayuse procedures for investigators completing Cayuse protocols, I might get some pushback.

    Indeed.   We have not included a quiz for any Cayuse training videos that we created for research staff for that exact reason.    The quizzes are only to document our internal staff training.   I do use the quizzes for researchers requesting access to the facility and thus far have not received any push back.

    At Stanford we provide a Cayuse training seminar via zoom once a qtr, post the recording for those that are not able to attend, have a suite of user guides for those that prefer self-directed learning, and of course provide 1:1 coaching as needed.

    Hi Jennifer,

    Lamar University recently launched SP (January), right before the pandemic. We have seen great success with our training videos to assist the faculty members with their submissions. We actually broke it down into several parts and even placed the videos on our Pre-Award webpage. I hope this is helpful.

    Glad to hear your area was spared. I am in Mobile which was targeted early in the Hurricane Laura forecast. While we are always happy to hear "the storm has taken a shift..." we realize another area will have the misfortune of having a greater chance of landfall.

    Hi Jennifer,

    I'm happy to share some resources I created for our research community. These are specific to our process and forms, but may give you and others some ideas.

    I used Zoom's recording and screen share features to capture short 3-6 minute videos walking through the Cayuse test environment from the perspective of a few of the fake personalities we use during training, e.g. Frances and Irene. Each video took a dozen or two takes to get it just right, as I didn't have any editing software. These were created roughly in February and early March of this year, and we launched use of Cayuse pretty much in conjunction with the covid lockdown that happened mid-March. So, very timely!

    For those who want to create videos to train researchers, a good, yet free!, software to use for recording what's happening on your computer screen is OBS Studio.   That's what we've used to record how to access billing, how to submit protocols, how to order animals, etc..   My technician records the process and then I add voice to describe what's happening.  You can also add voice to Powerpoint but I've found that those aren't quite as helpful as a training tool.

    I recommend keeping the videos very short - no more than about 5 minutes.   If the process is detailed, consider breaking it up into shorter segments.   Our first video was about 14 minutes and while most people will watch it, they won't rewatch it if they forget how to do something.

    If you're not ready for videos and want to stick with training documents, keep a screenshot library.   We started taking screenshots as we were learning the system and before we went "live" and opened it for researchers.   Then we used those screenshots to create the training document.   Basically, every time you click on a button or type in information, take a screenshot.   It's time consuming but if you create the screenshot library at the start, it's super easy to then pull those into training documents or put a singular screenshot into an email if someone is just having trouble figuring out how to proceed.    I've attached a document we put together for a researcher who was having trouble remembering how to place an animal order for pigs.

    Thanks for the mention of OBS Studio, I'll check it out.

    An additional free tool to record videos is Loom at https://www.loom.com/
    I've used it for the past couple of years and what I especially appreciate is that
    it records in the .mp4 format allowing most Windows and Mac users to view it.

    There are training videos on YouTube for it as well. Quick to learn, simple to use.
    The videos are originally saved online, however, I download them to my desktop
    and then delete the online version at Loom.

    I've no connection other than I'm a satisfied user. :-)

    I second the use of Open Broadcaster Software (OBS). I also used it to create our introductory training videos for Cayuse RFID Cage Cards and Cayuse Billing Module.

    For the voiceovers, I used an AI-powered voiceover application called Speechelo. It's pretty inexpensive at $50/lifetime subscription and it produces your voiceovers in mere seconds - while allowing you to control inflection, pacing, volume, emphasis, etc.
