    Job Summary

    Reporting to the Accounting Manager – Grants, this position is responsible for assisting with all aspects of grant accounting and administration in order to ensure compliance with sponsor regulations and timely and accurate reporting.

    Position Specific Responsibilities/Accountabilities

    • Responsible for post award processing of grants and contracts.

    • Provides account management, reconciliation, and resolution for principal investigators and research support personnel within a department, school or college.

    • Independently advises principal investigators on research funding awards, approves and/or monitors accounting and procurement expenditures consistent with regulatory and University practices, and provides direct support with payroll, accounts payable and accounts receivable processes.

    • Routinely provides policy and procedure interpretation to academic departments and assists in the preparation of reports to federal and sponsoring agencies.

    • Reviews contracts, maintains grant and contract files, reviews invoices, monitors accounts receivable, develops queries and reports on the financial system, works with business managers to resolve contractual issues, communicates with sponsors, ensures compliance with contract regulations and reporting requirements, and closes out contracts. 

    • Researches, analyzes and makes recommendations to management on process improvement tools.

    • Coordinates major financial reporting, budgeting and effort reporting activities. Ensures compliance with regulations and reporting requirements.

    • Coordinates the correction of account balances, resolves funding issues and maintains proper accounting controls and procedures.

    • Makes recommendations to principal investigators related to long-range financial and cash flow analyses.

    • Prepares and analyzes financial reports, billing schedules and supporting schedules.

    • Performs indirect cost analysis.

    • Hire, train, and supervise a small staff, including Budget Analyst – Grants and student assistants.

    Requisite Qualifications    

    • Typically a bachelor's degree in accounting, finance, or other closely related field. 

    • Minimum 4 years experience in a business environment in accounting, business administration &/or related field.  Higher education work experience highly desired. 

    • Knowledge of Uniform Guidance (2 CFR 200) and best practices in basic accounting.  Ability to advise faculty in accordance with regulatory guidance. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

    • Ability to train and supervise staff and students to manage workload in a deadline-driven environment.

    • Strong mathematical skill and attention to detail to calculate financial data and provide accurate reports.

    • Ability to use sound judgment, analyze disparate information, evaluate complex and ambiguous situations and recommend solutions.

    • Exemplary communication skills (both written and oral) and strong customer service ethic to serve as the first point of contact for grant Principal Investigators on all grant-related financial matters.

    • Highly developed organizational skills to effectively maintain large quantities of financial information in online systems.

    • Knowledge of Microsoft Office software, with extensive working knowledge of Excel.  Ability to learn new technology in a changing environment.  Experience in Workday a plus.

    HIRING RANGE:

    $65,000 - $90,000

    LOCATION:

    This position will work a hybrid schedule. The incumbent must reside within the state of California and work from the office a minimum of two days per week.
