    The Research Administrator III/IV (RA) is a high-level career position which supports the faculty and lab personnel in the Division by providing support in grants management (Pre- and Post- Award), budget monitoring, regulatory administration, and general day-to-day operations of the program faculty. The grant portfolio is comprised of various sources of NIH, foundation, industry, professional society, internal pilot, subawards, and institutional support and includes regulated activities. This role is part of a team of Research Administrators and Administrative Coordinators which provides a network of peer resources and team environment. The specific portfolio will be determined once the candidate is selected and their aptitudes and preferences known.

    This role can be hybrid remote or on-campus.  The option of full remote may be considered during the interview process. Applicant must specify preference of on-campus, hybrid remote, or full remote during the application process. Full remote will need to be reviewed and approved by the Remote Work Administration Committee.

    The Research Administrator III/IV (RA) is responsible for all pre-award and post- award operations for each faculty in their assigned portfolio. This includes completing nonscientific grant content and tasks, adherence to internal and external deadlines for grant/IRB/HR submissions, maintain and advise the PIs on management of the portfolio, and develop effective solutions to any issues that may arise. Management of portfolios to ensure for each grant awarded all policies and procedures are followed per the terms and conditions of the award and per institutional policy.

    Responsibilities

    • Human subject and animal file regulatory support is a required component of this role.
    • Prepare/Consult/Advise faculty on non-scientific portions of regulatory applications/submissions.
    • Assist with submission of renewals of regulatory files adhering to deadlines.
    • Development of clinical trial agreements including creating, negotiating, and management of budgets based on protocol activity.
    • Some data entry and maintenance for activities related to the clinical trials using a clinical trial management system.
    • Prepare/Consult/Advise faculty and maintain data/material use agreements and compliance documentation.
    • Assist each of the faculty in their assigned portfolio to plan and ensure compliant and effective funding for longevity by maintaining and reporting budget status for entire portfolio.
    • Provide guidance in relation to budget adherence, regulatory administration, and general administrative support for the labs/departments that are part of their portfolio.
    • Collaborate with faculty and interface with program employees and other divisions, departments and institutions as needed on administrative and strategic planning.


    MINIMUM QUALIFICATIONS:

    • HS diploma or equivalent.
      • Research Administrator III minimum requirements: Three years in pre-award and post-award grants and contract management.
      • Research Administrator IV minimum requirements: Five years in pre-award and post-award grants and contract management.
    • Able to understand, interpret and provide guidance relating to notice of awards and terms/conditions for sponsored research.
    • Budget development and management for multiple types of funding mechanisms (NIH, Foundation, pilot funding).
    • Technical experience sufficient to allow proficiency doing remote work –daily use of MS Outlook, MS Teams, Slack, and Zoom.
    • Able to work independently and prioritize competing priorities but also the ability to work as part of team, seeking/providing guidance from/to team members and peers.
    • Able to multi-task and work effectively in stressful circumstances, such as tight deadlines.


    PREFERRED QUALIFICATIONS:

    • Prior grants management experience of more than 4 years.
    • Multi-project grants management experience with a wide variety of funding sources.
