    The Comprehensive Center for the Advancement of Scientific Strategies (COMPASS) in the Public Health Sciences Division at the Fred Hutch is seeking an experienced Research Administrator (RA) III. In this position, the RA will be responsible for the planning, coordination, and implementation of research administrative functions for Coordinating Center projects under the general direction of the Fiscal Manager.


    Responsibilities

    The Research Administrator III works in an autonomous manner to complete non-scientific grant content related tasks and to advise COMPASS Co-Director/PIs on relevant matters. This position has a greater scope of responsibility for grant support for several large ongoing coordination center studies and new grant application submissions.

    The incumbent works independently under the limited direction of the Fiscal Manager and uses sound judgment and discretion in interpreting and implementing department/project(s)/program and Center policies and procedures within existing frameworks. 

    This position requires the incumbent to be comfortable with multi-tasking and priority leveling as needs of the projects change or new duties are assigned.

    The Research Administrator III proactively provides compliant and effective funding, budget and general administrative support for several ongoing coordination center studies and several Principal Investigators within COMPASS.

    This position may perform some or all of the following responsibilities:

    Administrative Support

    • Complete or assist with key administrative tasks such as editing CVs and publications, track and monitor Human Subject training of staff and key personnel, and purchasing and maintenance of supplies and equipment
    • Assist with scheduling of monthly meetings and may include administrative support for local meetings of investigators and staff.
    • Comfortable communicating verbally or in writing to all levels of the organization.
    • Attending institutional training to keep skills current and knowledge up to date on sponsor regulations and emerging technologies.
    • Demonstrated abilities for advanced use of Word, Excel, PowerPoint, and Adobe Acrobat.

     

    Funding Source Administration

    • Assisting in pre-award functions such as preparing grant applications to ensure conformity with relevant sponsor guidelines. To include key tasks such as: creation and communication of timelines to appropriate stakeholders, completion of nontechnical and assigned technical/non-scientific portions of submission, formatting of charts and tables, and oversight of institutional signoff.
    • Able to use Endnote to assist in the compilation of references for grant writing.
    • Perform key post-award activities such as:  interpreting the notice of award, flagging unique aspects or budget adjustments and monitoring and adjusting the team's commitments across the portfolio of projects based on awards.
    • Coordinating collection of grant application materials and receipt of institutional reviews and approvals to ensure timely submissions. 
    • Participating in timely grant/award renewal process and the orderly closeout of sponsored activities.

     

    Budget/Fiscal Support

    • Prepare financial transactions, such as reimbursements, travel expense report reconciliations, purchase requisitions, and cost transfers
    • Develop/Administer financial reports to monitor grant expenses to ensure compliance with sponsored award terms/conditions. 
    • Develop, run, and analyze reports to identify issues and escalate as needed.
    • Develop custom report formats to share information with the team/department.
    • Work with appropriate departments to troubleshoot and resolve budget and expense issues.


    Qualifications

    • Bachelor's degree or equivalent experience. 
    • Three or more years of experience as a research administrator with pre and post award grants management experience in a scientific or academic institution.
    • Strong computer skills. 
    • Experience in budget preparation. 
    • Familiarity with enterprise systems, such as eRACommons, PubMed, OnBase, Workday, Huron Grants.
    • Certified Research Administrator is preferred, but not required.
