    Job Description Summary

    Position reports to the Department of Medicine's Research Administrator and Pre-Award Team Lead. Plans and executes complex activities and tasks for the Department. Formulates and administers grant/contract-related administrative policies and procedures. Position administers pre-award grant and contract activities in support of the Department's efforts to secure external funding from federal, state, local, corporate, foundation, and other private sources. Responsible for grant proposal preparation and submission.

    Job Duties

    • 35% - PRE-AWARD: Coordinates the Department of Medicine's pre award process of successfully submitting federal and foundation grant proposals by managing the proposal development and submission process. Medicine submits approximately 400+ proposals annually. The process includes but is not limited to the following:
      • Works directly with faculty in proposal development.
      • Develops budgets and budget justifications in accordance with agency guidelines. Determines potential fiscal issues such as cost allowability, cost sharing, F&A rates, possible request for waivers, etc.
      • Coordinates all relevant documentation for the submission process including justifications, scope of work, biosketches, letters of support, and other supporting documentation
      • Communicates with outside agencies and subrecipient sites to obtain required documentation for proposal submission
    • 25% - Prepares all federal and private proposals for department and university approvals including IPF routing and follow-up, successful uploading into Cayuse.  
    • 25% - Facilitates timely submission and renewal of VA MOUs, progress reports and Just In Time requests. This includes but is not limited to verifying personnel effort and changes in other support and working directly with investigators to submit reports via eRA Commons and other methods.
    • 10% - Serves as a department expert who has a very strong understanding of ORSP/GCA and external agency policies and procedures; works closely with both ORSP/GCA regarding carryover requests, subcontracts, re-budgeting requests, cost share documentation and changes in key personnel, effort, or scope of work. Serves as a pre-award expert working directly w/ departmental leadership which includes the Chairman, Vice Chairman and Director of Research.
    • 5% - Other duties as assigned to support the Departmental Grants and Finance Team, Department Leadership and faculty.
