    The University of Illinois Chicago's College of Medicine is building a research administration shared service center and currently recruiting for both pre- and postaward administrators. On-campus, hybrid and remote work/schedules will be considered. Applications are requested by Feb 24.

    This position will be responsible for the management and oversight of the grant and contract operations of the post-award program for assigned Principal Investigators in participating clinical departments within the College of Medicine. The Grants and Contracts Associate will provide technical and financial expertise to the PIs and their delegates to ensure the accuracy of grant and contract awards, and agreements. This includes: all day-to-day oversight of financial and grant administrative activities, including budget development, financial analyses and strategy, contract procurement and negotiation, interfacing and ensuring compliance with granting organizations, regulatory agencies, and university policies and procedures. Duties include:

    • Serve as a subject matter expert on grant and contract management for assigned PIs and act as liaison to the Office of Sponsored Programs and relevant departmental and collegiate staff. Administer, review, and edit all financial activities of grants, contracts, consulting agreements, subcontracts, and vendor agreements for sponsored projects.
    • Inform PIs of changes in sponsor policies and regulations; coordinate and ensure compliance with changes.
    • Reconcile sponsored project expenses against university financial systems, track cost share expenses, and forecast budget balances.
    • Transition funded grants and contracts from pre- to post-award in an organized and collaborative process working with departmental, collegiate and central office staff.
    • Coordinate receipt of award documentation, maintain relevant electronic records, and prepare scheduled and special reports.
    • Facilitate set-up of subrecipient agreements, monitor execution, invoicing and compliance, and close-out agreements and reconcile accounts at grant end.
    • Facilitate completion of annual effort certification for PIs
    • Coordinate with participating clinical departments to monitor sponsored project purchasing activities for PIs
    • Prepare budgets, manage requests for no-cost extensions, progress reports, budget changes, prior approvals, and grant close-outs.
    • Perform other related duties and participate in special projects as assigned.
