    W&M OSP is a central office providing pre-award, post-award, and research compliance support to the four Schools on our scenic Williamsburg campus (Arts & Sciences, Business, Education, and Law).  This entry-level position supports the OSP team, faculty researchers, and departmental administrators.     Position Title

    Sponsored Programs Assistant

    Position Summary

    The Sponsored Programs Assistant will be dedicated to supporting the operations of the Office of Sponsored Programs and externally sponsored research programs of W&M. The Sponsored Programs Assistant provides data entry support in both the OSP Database and Accounting System (Banner Finance), prepares invoices to external sponsors; verifies compliance with federal, state, institutional, and award-specific regulations and guidelines; assists in award closures; and retains all required records according to retention schedule. Sponsored Programs Assistant maintains the OSP procedures manual and updates the OSP webpage on a regular basis under the direction of the Director, Compliance Manager and Senior Sponsored Program Administrators.

    Required Qualifications

    EDUCATION:
    • Bachelor's degree in a related field or an equivalent combination of education and experience.

    COMPETENCIES:
    • Exposure to federal, state, and/or foundation rules and regulations related to grants and contracts.
    • Strong reading and analytical skills with the ability to digest complicated text passages, reconcile data via reports, ability to interpret conditions and apply to proposed activities.
    • Strong working proficiency of a variety of computer applications to include working knowledge of MS Office applications with particular expertise in Excel.

    EXPERIENCE:
    • History of working with a centralized records system or client database
    • Coursework in or practical experience with budget management

    Preferred Qualifications

    EDUCATION:
    • Bachelor's degree in accounting, finance or a closely related field, highly desirable.

    COMPETENCIES:
    • Working knowledge of federal regulations governing grants/contracts including 2 CFR 200 (Uniformed Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards) and Federal Acquisition Regulations (FAR), with the demonstrated ability to interpret guidelines, regulations and complex documents and apply policies and procedures.
    • Knowledge with web-based proposal, payment and awards management systems (e.g.,FastLane, Grants.gov) or other similar web based applications is highly desirable.
    • Strong proficiency in a variety of computer applications to include automated accounting systems.

    EXPERIENCE:
    • Background or experience in accounting, financial management or other fiscal related administration.
    • Experience using an automated financial or accounting system.
    • At least 1 year of experience using Ellucian Banner ERP System (finance /accounting module)

    Conditions of Employment:

    • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act and university policy. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

    • This position is subject to occasional travel.
