    The UConn Health Disparities Institute is seeking an Administrative Program Coordinator for Grants & Contracts to join our team in Hartford, CT. This is an administrative position that will manage budgets and administrative components of our grants and contracts. We are looking for experience in this area, especially with budgets.     Administrative Program Coordinator (APC), Grants and Contracts

Our top-rated organization is looking to add a full-time Administrative Program Coordinator (APC) with expertise in managing and coordinating external grants and contracts to the Health Disparities Institute (HDI) at UConn Health located in a hybrid community-based office setting in Hartford, CT. HDI seeks to establish UConn Health as a leader in health equity by creating a collaborative environment that brings together different perspectives to look at root causes and potential solutions to health disparities. The Institute's work centers community-based participatory research methods, interdisciplinary collaboration models, and university-community partnership approaches with a translational impact on health outcomes.     At UConn Health, the APC is accountable for independently providing administrative management and/or advanced technical program support.

     

    EXAMPLE OF DUTIES:

    • Grants and contracts administration activities that include pre-and post-award requests, budget management, sub-award and contract preparation and management, long-range budget projections.
    • Prepares month-end financial reports and statements.
    • Resolves administrative and logistical problems and transactions by collaborating with state/federal/international agencies, institutions, and UCHC Sponsored Programs office as appropriate.
    • Prepares of grant application administrative materials for grant submissions to National Institutes of Health (NIH), Health Research and Services Administration (HRSA), National Science Foundation (NSF) and other federal funding agencies, as well as foundations and state contracts.
    • Serves as liaison with other department members in financial and grants administration role.
    • Serves as HDI liaison to UCHC Sponsored Programs office and contracts office.
    • Stay up to date on UCHC grants and contracts policies and processes. Attend Sponsored Programs Administrators monthly meetings and share guidance with PIs and team members as needed.
    • Serves as liaison to community partner organizations with HDI subcontracts this might include reviewing paperwork requirements and subcontracting and invoicing processes with partners.
    • Prepare and process invoices for grants and contracts in response to directives provided by the study lead.
    • Drafts grants and contracts budgets, including internal and external funding; prepares budget summaries.
    • Provides administrative support related to grants and contracts (ie. meetings coordination).
    • Directs the workflow and supervises and completes the necessary grant-related administrative paperwork, records, and complex filing systems to support a program, including a full range of basic accounting activities such as maintaining, balancing, and reconciling a group of accounts.
    • Assists the office manager program logistics and administrative support for professional staff such as procurement and travel arrangements.
    • Provides grant related administrative support for professional staff, adjusting to accommodate changing priority needs.
    • Assists in planning meetings, conferences, seminars associated with grants and contracts with responsibility to make all necessary arrangements including room reservations, catering, travel and coordinates events and details, and mileage reimbursements.
    • Processes grants related purchases through Husky Buy procurement system.
    • Assists in monitoring institute webpages to ensure information related to grants and contracts are up to date.
    • Performs related duties as required.

     

    MINIMUM QUALIFICATIONS REQUIRED
    KNOWLEDGE, SKILL AND ABILITY:

    • Considerable interpersonal skills.
    • Ability to engage with and work collaboratively with staff, faculty, and community partners.
    • Knowledge of business math.
    • Ability to prepare budgets
    • Considerable knowledge of office procedures.
    • Oral and written communications skills.
    • Data management skills.
    • Ability to schedule and prioritize work.
    • Ability to interpret directives for filing grant and contracts applications through federal, state, and private funding agencies.
    • Ability to schedule and prioritize workflow.

     

    EXPERIENCE AND TRAINING:

    General Experience:
    Six (6) years relevant grants management experience. Must have demonstrated experience in preparing budgets, budget projections and budget management using accounting software systems; grant administration, must demonstrate intermediate/advanced spreadsheet skills in Microsoft (MS) Excel which includes the ability to create worksheets, tables, and formulas.

    Substitutions Allowed:
    Bachelor's degree and two (2) years of relevant experience may be substituted to the general experience

    PREFERRED QUALIFICATIONS:

    • Experience with and knowledge of NIH, HRSA, NSF and Foundation grant application procedures
    • Experience with financial grant systems (i.e., Banner, HuskyBuy, File Maker software)
    • Knowledge of fiscal program rules and regulations.
    • Experience using Grants.gov, SAM, ASSIST, or InfoEd.
    • Knowledge of Community Based Participatory Research and/or community engagement.
    • Experience working with community-based organizations that serve diverse communities of color.
    • Experience with and/or knowledge of Institutional Review Board policies and protocols

     

    Minimum Full time annual salary $71,261.00

     

    HYBRID SCHEDULE:

    40-hour work week; Monday through Friday, 30-minute unpaid meal break.
