    Global Oncology (GO), a growing Cross-Divisional collaborative research program that is overseen by the Director's Office at Fred Hutch, has a mission to better understand, diagnose and treat infection-related and other high-burden cancers in low- and middle-income countries as well as develop new immunotherapies and train future leaders in global oncology. Global Oncology has a decade-long collaboration with the Uganda Cancer Institute (UCI), located in Kampala, Uganda, that advances research, capacity building, and cancer care in Uganda.

     

    This Research Administrator position is based in Seattle, WA and will report to the Finance and Administrative Manager in GO with a primary focus of providing research administration support to senior team members, including GO's senior Research Administrator. This position will work and collaborate with a broader team of colleagues located in Seattle and Kampala to contribute to the program's strategic objectives and mission.

    Responsibilities

    Global Oncology has several participating Fred Hutch Faculty/Principal Investigators that bring together their areas of scientific expertise and research funding portfolios. The Research Administrator will primarily provide support to senior team members in the management of sponsored and non-sponsored research funding, planning for and ensuring compliant and effective expense allocation, budget forecasting for personnel and goods, and general programmatic administrative support. The Research Administrator will work with an experienced, fast-paced, engaged, inquisitive and highly competent team. This position will be expected to work autonomously, take initiative while practicing sound judgment, employ excellent written and verbal communication, and manage competing priorities. A successful candidate will also be able to focus on continuous process improvement and thoughtful collaboration while operating within the framework of various and complex Sponsor, Fred Hutch, and GO policies and procedures.

    GO International Research Administration and Operations Support (100%)

     

    Pre-Award Grants & Contracts Support

    • Work closely with Faculty, GO senior staff, colleagues in Uganda, and other FH colleagues to prepare and submit grant and contract applications to various funding agencies, ensuring all financial and administrative documents are completed correctly and on time
    • Assist senior staff in navigating all parts of the grant proposal process and the different requirements of various funders. Understand all parts of the application submission process and the different requirements of various funding sources. Interpret Funding Opportunity Announcements and sponsor guidance documents, create and communicate proposal application timelines, complete non-technical/non-scientific portions of submissions, and facilitate institutional sign-off
    • With close input from Faculty and senior staff, develop budget and related financial portions of applications including outside collaborations
    • Provide editing and formatting assistance with proposals that meet sponsor requirements
    • Help identify sources for additional funding, supplements, and anticipate preparation and submission of all competing and non-competing progress report

    Post-Award Grants & Contracts Support

    • Assist GO Faculty and senior staff in post award oversight by reviewing and interpreting grant notices of award and industry contracts
    • Work with GO Faculty and senior staff to prepare and maintain budget updates and forecasts, including personnel effort, on a monthly basis
    • Participate in maintaining internal sponsored portfolio documentation and file organization
    • Partner with GO senior staff and Fred Hutch Office of Sponsored Research (OSR) staff to resolve questions and issues related to grants and contracts, including closeout, cost transfers, no-cost extensions and other prior approval requests
    • Provide support for initiation, review, and monitoring of subawards/subcontracts for spending and compliance
    • Assist with budget-to-actual financial reporting, expense approvals and invoice processing while assuring charges are appropriate, allowable, allocable, and paid in a timely manner
    • Help coordinate Interim and Final Progress Report administration and submission
    • Understand and monitor ever-changing policies and procedures of Fred Hutch, NIH and other funding agencies

    Other Administrative Support

    • Participate as part of the broader GO administration and operations team, regularly liaising with and proactively partnering with international colleagues to ensure effective administration of all GO research projects and support capacity development of international research administration collaborators
    • Assist with review of procurement requests, FMS requisitions, and OnBase invoices for all GO studies, coordinating with division research administrators, as applicable
    • Work closely with senior staff to update and monitor monthly personnel effort on sponsored projects for all GO staff (Seattle- and Kampala-based) for GO senior leadership review and subsequent data entry into Fred Hutch's internal effort management systems
    • Help with review of GO corporate credit cart (ProCard) statements for GO leadership approval
    • Develop thorough understanding of various research-oriented financial management systems internal to Fred Hutch including HARP, FMS, and OnBase to improve existing and develop new reports and tools in alternate programs (i.e. Microsoft Excel), as needed
    • Perform related duties as assigned

    Qualifications

    Minimum Required

    • Bachelor's degree and minimum of three years' experience (or commensurate) working with grants/contracts, including building, overseeing, and managing budgets from a wide range of sponsors, including federal and industry
      • Research Administrator II minimum requirements: Two years of relevant administrative support experience, with pre- and post award grant support
      • Research Administrator III minimum requirements: Three years of relevant administrative support experience, with pre- and post- award grant support
    • Strong computer skills with the ability to develop and perform moderately complex calculations in Microsoft Excel. Proficiency in a variety of additional software tools including Microsoft Outlook, MS Teams, Word, SharePoint, Adobe Pro, Zoom, Skype, WebEx and Slack
    • Ability to quickly and thoroughly learn how to use a multitude of research and business enterprise systems including Huron Click, Peoplesoft, Workday, OnBase, Chrome River and others
    • Well-developed verbal/written communication skills and impeccable reading comprehension. Able to understand, and succinctly explain complex problems from multiple perspectives/requestors and then organize thoughts and ideas into clear, simple terminology
    • Strong interpersonal skills that foster collaboration and demonstrate willingness to explore alternative, or develop innovative, solutions. Ability to communicate status of projects to key persons/decision makers on a proactive, recurring basis
    • Ability to work on multiple tasks at various stages of completion without loss of efficiency or accuracy, leveraging strong, simple organizational and time management skills and associated tools
    • Work effectively under stressful circumstances, such as tight deadlines. This position will require some periods with flexible work hours to meet tight deadlines
    • Self-motivated with strong analytical skills and extreme attention to detail, able to exercise independent judgement and make appropriate decisions
    • Position may require occasional travel to Uganda or other international locations (< 10% FTE

    Preferred

    • Prior experience working with international colleagues across time zones and cultures
    • Experience working with clinical trials
    • Comfortable working in a fast-paced environment. This includes the ability to perform multiple duties received from multiple sources, working styles, and/or situations requiring speed
    • Credentials in business, finance, public health, global health, or public administration
