  • 1.  Human Ethics - General user access to training site - how to set up

    Hi all,

    I have seen that some institutions allow general user access to the Human Ethics training site to "test drive" the system.

    My question, is how do you set that up?

    I see one school says to use their usual username and provided password that is the same for all users. Another provided both the username and password on their website.

    On the flip side, if I am updating the Initial Submission template for a new degree program, how can I allow a few selected users access to the training site so they can preview it?

    I have failed to find this information in the Cayuse Help Center.

    Hi Darcy,

    Because our institution's SSO is connected with our Human Ethics product, we were able to provide the email addresses of some of our staff to give them a chance to test out the new system before we went live. We provided these to the Cayuse staff working with us to build the system and they created the accounts for them in the test module. We uploaded our proposed application in the test system and allowed for everyone to create test applications to see if there were any changes needed before we went live.

    Alicia,

    Thank you for the response.  Our Human Ethics is connected to our SSO as well.

    What you describe is what we are trying to do for a new program; let the faculty test drive the changes they have requested before we export it to update our existing production site for their students.

    I have already submitted a support ticket, because I was pretty sure it had to be done on Cayuse's end.

    Do you have access to the UAT?  In the UAT, you can create any dummy accounts and passwords in 424 (at least if you are not on the platform), and assign researcher/ IRB member/ analyst/ administrator roles.  Our UAT is not connected to SSO.  Since it is a testing environment, there will be no interference with the production database.  Support should be able to copy your production instance so the submission templates match.  I have used this to test out new form versions.

    To allow users to sample the forms before they are ready to submit, to get a feel for the system and to be aware of documentation they will need to provide, I simply ask users to create an initial submission in production,  but not to complete the submission or certify it.  Yes it appears as an in-draft application, but I have my assistant check up and delete or withdraw any in-draft submissions that are over 18 months old.

    I appreciate your input and problem-solving.

    We are on the platform.

    I do have access to the UAT, that is where I have started designing the new Section needed by this new program. When the UAT was set up, many users were loaded, testing HR connect, including the users I want to test the design in progress.

    I thought I'd update this.

    I submitted a support ticket and the answer is I needed to activate the accounts in the training environment.  The accounts had been made when the training environment was created, but not automatically activated as they are in the production environment.

    Part of the solution was asking the right question and then the aha moment came.
