    SHIFT:  Days, M-F, 8:30 a.m. Start Time
    LOCATION:  Pasadena, CA   

    SUMMARY:  

    The Office of Development leads the development and marketing-communications efforts at HMRI. The Development Coordinator supports the Office of Development's mission to cultivate and engage donors to generate philanthropic revenue from individuals, foundations, corporations, donor advised funds, bequests, in-kind-gifts, etc. to support the funding priorities of HMRI. In pursuit of these goals, the Development Coordinator provides effective operations support for fundraising, constituent management, and marketing-communications activities including, but not limited to, constituent records tracking, database reports, appeals, gift processing and reports, preparation of philanthropic grant proposals, communications projects and timelines, events, and volunteer coordination. The Development Coordinator reports directly to the Chief Development Officer and interfaces with other HMRI staff member as appropriate.   

     

    JOB QUALIFICATIONS AND REQUIREMENTS:

    Gift Processing & Database Management  

    • Manages and maintains Raiser's Edge NXT constituent database to ensure data integrity. Processes and records all philanthropic gifts (current assets and deferred) including grants, sponsorships, bequests, and in-kind gifts, etc., made to HMRI in a timely manner.  
    • Prepares database queries, analytics, customized reports to support department needs, including constituent reports, gift reports, exports and prepares reports for portfolio management, donor solicitation and recognition, mailing lists, and event response tracking, etc. Implements regular updates, exports and prepares financial reports and data clean-up functions.  
    • Interprets data using charts and narratives for the Office of Development reports. 
    • Creates and implements gift coding, attributes, contact reports, and other data entries, as required for accurate and efficient constituent management. 
    • Tracking multi-year gift and grant pledge payment schedules and budgets. 
    • Compiles report information and ensures integrity and completeness of digital and physical files that meet compliance and foundation requirements and evaluate program effectiveness. 
    • Manages online donation page, requests for matching gifts, and online donor inquiries. 

     

    • Prepares, reviews, and edits acknowledgement(s) of all HMRI gifts in a timely manner; provides careful review of gift documentation, follows up on gift reports, and uploads documentation into Raiser's Edge.  
    • Compiles accurate monthly data for the Office of Development documents for Board meetings.  
    • Ensures that all development communications, correspondence, and materials are grammatically correct. 
    • Serves as the point of contact with the Finance Department, including requests regarding annual audits. 
    • Assists with fundraising appeals and other development tasks, as directed. 
    • Provides back-up coverage (as directed) for the reception desk. 

     

    Marketing and Communications  

    • Supports the Chief Development Officer in managing the marketing-communications timeline. 
    • Proactively communicates due dates to appropriate constituents, both internal and external. 
    • Performs other duties as assigned. 

     

    Special Events 

    • Coordinates and provides support for all HMRI Office of Development events including maintaining mailing lists, invitation and RSVP lists, events calendar, coordinating volunteers, and following up with current and prospective donors to ensure the best attendance at events. 
    • Provides on-site assistance at Office of Development events. 

     

    The Development Coordinator also performs a wide range of job duties as assigned and requested. 

     

    Education and Experience 

     

    • Bachelor's degree required. 
    • Minimum of three years of development/fundraising and non-profit experience required. 
    • Minimum of five years of experience providing administrative support required. 
    • Operates with discretion, integrity and confidentially. 
    • Database management experience required, including a minimum of three years of experience working with Raiser's Edge. 
    • Outstanding computer skills, proficient with MS Office programs (Word, Excel, Outlook). 
    • Excellent written, oral, and interpersonal communication skills. 
    • Good judgment and decision-making ability. 
    • Takes initiative, is a resourceful, reliable, and conscientious self-starter with excellent attention to detail and ability to coordinate multiple projects and deadlines. 
    • Anticipates needs before others ask. 
    • Ability to build and maintain strong relationships with colleagues, building respect, consensus, and trust across reporting lines. 
    • Comfortable working in a scientific research and educational environment.  
    • Comfortable working in a hybrid environment, remote location and in-person, as needed. 
    • Thrives in a collaborative team environment and has a collegial spirit in sharing ideas and receiving constructive feedback. 

      

    COMPENSATION: 

    • Full-time (40-hours per week), Non-exempt (salary range $55,000-$70,000), based upon experience. 
    • Benefits include paid holidays and paid-time-off, medical, dental and vision insurance. 
    • This is a current hybrid remote and in-person position, contingent upon COVID-19. The position will eventually be 100% in-person.
