    Position Summary

    Reporting to the Director of Academic Affairs and Sponsored Programs, the Assistant Director of Sponsored Programs, Post-Award will be responsible for the oversight and management of all grants and contracts awarded by federal, corporate, and other sources. The Assistant Director will establish and communicate sponsored program administration policies & procedures, they will oversee the maintenance of expenditures and other post-award records, and are responsible for the establishment of an efficient and compliant post-award infrastructure.

    Duties:

    • Oversee all aspects of post-award operations and strategies for sponsored projects, including planning and implementing appropriate policies, processes and controls to comply with regulations, funding agency policies, and College policies.
    • Act as the primary resource to all Olin community members on the financial management of any external funding.
    • Review all grant expenditures for adequate documentation and compliance with applicable regulations. Ensure budgetary controls are established so awards are not exceeded. 
    • Prepare all journal entries related to grant accounts, as well as related budget adjustments, cost transfers, detailed schedules, account reconciliations, and other financial reports.
    • Oversee the cash management and accounts receivable; ensure timely and accurate invoicing.
    • Assure that adequate procedures are in place to monitor any sub-recipients and their compliance with sub-award provisions.
    • Ensure timely and accurate internal and external financial reporting for all grants and sponsored programs on a periodic basis and as required.
    • Prepare budgets, financial forecasts, and other detailed calculations as they relate to the College's grant and contract funds.
    • Prepare materials for and act as primary liaison with external auditors for the annual Single Audit (formerly known as the A-133 audit).
    • Monitor and keep current with federal grant accounting regulations and practices. Provide interpretation and application to College faculty and staff as needed. Accountable for ensuring that all expenditures adhere to federal, state, University and sponsor requirements.
    • Compute and prepare the indirect cost rate proposal to the Department of Health and Human Services.
    • Conduct final review of the Schedule of Federal Expenditures of Federal Awards (SEFA) as reported to the auditors. Ensure proper filing of the related Data Collection Form (DCF) with the Office of Management and Budget (OMB) Federal clearinghouse.
    • Manage processes for completing annual, national surveys such as the NSF HERD survey. 
    • Serve as backup for the pre-award budget development and grant submission process.
    • Partner with appropriate College offices, particularly Financial Affairs, to manage, develop, and implement policies, processes, and systems for all aspects of financial management.
    • Manage the College's effort reporting system, ensuring the process is in compliance with applicable regulations.
    • Other duties and functions as assigned.

    Requirements:

    • Strong accounting skills
    • Bachelor's degree in accounting or business administration or the equivalent, Master's preferred
    • At least seven years of post-award sponsored research experience, preferably in a higher education setting
    • Knowledge of the Uniform Guidance (formerly known as A-21, A-110, A-133) compliance requirements and Federal Acquisition Regulation
    • Knowledge of federal agency policies (e.g. NSF, NIH, NASA)
    • Certified Research Administrator credentials preferred
    • Experience with budgeting and forecasting
    • Excellent written and verbal communication skills
    • Excellent computer skills, including Excel and database management
    • Ability to respond to a wide variety and volume of requests from numerous individuals in a timely and professional manner
    • Strong focus on attention to detail and accuracy
    • Independent thinker and analytical problem solver
    • Demonstrated ability to improve processes and enhance systems
    • Effective negotiation, analytical, and interpersonal skills

    * Olin's hiring salary will typically start in the entry point to mid-point of the range. The starting salary will vary based on the candidate's relevant experience, skills and education.
