    The Assistant Director of Budget and Planning, Research and Project Funds plays a critical role managing SPE's portfolio of research and project funds as well as fiscal and administrative operations for the Executive Dean's Office within The Schools of Public Engagement (SPE) at The New School in New York City. SPE comprises the School of Media Studies; the School of Undergraduate Studies; the Milano School of Policy, Management, and Environment; the Creative Writing Program; and the Julien J. Studley Graduate Programs in International Affairs, as well as several programs, research centers and labs. The Assistant Director must possess strong fiscal, administrative, communication, and technical skills. The position requires flexibility, creativity, tact and the ability to develop and implement systems. The Assistant Director reports to the Vice Dean of Strategy and Administration and works closely and collaboratively with SPE's academic leadership, faculty, and staff and the Budget and Administration, Faculty Affairs, Academic Planning, Communications and Events, and Student Affairs teams.

    The work mode for this position is envisioned to be hybrid (partly remote, partly on campus).

    Responsibilities:
    • Manage SPE's portfolio of research and project funds, including grants, gifts, endowments, contractual funds, and designated funds such as indirect cost recovery:
      • Ensure that spending is aligned with approved award budgets and donor intent and meets reporting requirements.
      • Serve as the liaison between Principal Investigators and the Office of Research Support, Development, and Grant Accounting/Finance.
      • Advise Principal Investigators on the development of funding proposals to meet the requirements of external funders and align with university policies and guidelines.
      • Review and approve funding proposals on behalf of the Executive Dean's Office.
      • Work closely with SPE's Academic Leadership, Academic Planning team and the Provost's Office to secure necessary approvals of course buyouts and assess and track faculty teaching loads that are impacted by external funding awards.
      • Create and assess multi-year budgets for centers, labs, and projects; in particular, budgets that involve a multitude of funding sources and complex personnel costing allocations.
      • Develop budget snapshots and summaries for external funders and college presentations.
      • Assist Principal Investigators with effort reporting requirements.
    • In close coordination with the Director of Operations, and with a particular focus on externally-funded projects:
      • Manage HR/Payroll work occurring within SPE and serve as a confidential liaison to HR/Payroll on policy, payroll, and personnel related matters.
      • Review college-wide student worker hiring requests and facilitate hiring.
      • Authorize SPE purchasing requests, approve expense reports, and make recommendations for and prepare expense reclassifications.
      • Review SPE contracts and shepherd them through approval processes.
      • Ensure that SPE practices align with university policies and procedures.
    • Support college visibility and community engagement strategies, with a particular focus on strengthening connections between academic programs and centers/labs and developing strategies to leverage our centers/labs and research initiatives to attract and retain students.
    • Encourage and support the advancement of faculty, staff, and students who seek research and project funding, with a focus on Equity, Inclusion, and Social Justice.
    • Actively engage in budget and administration strategy, with an eye towards improving business processes for faculty, staff, and students.
    • Support the Vice Dean's work in the development of new and/or reconfiguration of existing financial models.
    • Serves on committees and working groups, as appropriate.
    • Represents and supports the Vice Dean through other tasks, as assigned

    Minimum Qualifications:

    • Bachelor's degree.
    • 4-5 years of relevant experience.
    • Strong financial management background and experience, as well as analytical abilities and technical skills. Must be able to independently evaluate data (both quantitative and qualitative), perform analysis, create financial models, and make recommendations for action based on analysis.
    • Ability to work well under pressure, take initiative, and follow-through on multiple projects and tasks while maintaining a high degree of accuracy and speed.
    • Excellent written, verbal, and presentation skills.
    • Experience in collaborative settings and on team-based projects.
    • Adaptability to evolving business policies and procedures.
    • Collegiality and ability to work effectively with faculty, administrators, students, and the University community.
    • Enthusiasm for the vision and ethos of The New School.
    • Ability to adhere to university COVID-19 policy and requirements

    Preferred Qualifications:

    • Master's degree.
    • Work experience in education, non-profit, or public sector.
    • Familiarity with WorkDay or similar enterprise-level software for financial management, human resources, and planning.
