    Hi Animal Oversight and Hazard Safety community,

    We are gathering requirements to build functionality to perform, track, and report on Occupational Health Risk assessments. If you have time, I would love to learn about your institutional requirements and your ideas for incorporating this functionality into the Animal Oversight and Hazard Safety applications.     • Would your institution utilize this functionality in Cayuse or would your institution prefer to import clearance records into Cayuse from your current system?
    • How are occupational health risks assessed at your institution? 
      • Annual survey/clearance process, protocol-basis?
    • What type of role reviews risk assessments? 
      • Administrator, nurse, specialist, etc?
    • What types of risks are screened for?
      • Species, other hazards, etc?
    • Please provide any other feedback or ideas that should be considered when building this functionality.

    Hi Sarah,

     

    It's great to see Cayuse take more active interest in further fleshing out the AO and HS applications!

     

    Clearance to work with rodents (the only species we use) and certain hazardous materials, from an occupational health perspective, is managed by the nurses in our Occupational Health office and involves (but is not limited to) responses to medical questionnaires.  They have their own software solution for keeping track of medical information, and for privacy purposes as well, I believe our preference would be to simply import the dates that people were granted general medical clearance for in-vivo work (for which we require annual updates) as well as to work with specific materials (e.g., CFA).  Similarly, we would also want respirator fit test clearance dates to be imported (another one that requires annual renewal).

     

    There are multiple ways OHS finds out about someone needing medical clearance and fit testing for animal use: through an employee onboarding questionnaire, a direct inquiry, or being notified by the IACUC staff.

     

    Controlled Substances clearance for animal users is managed the same way we manage other in-vivo training, so the animal user training team enters that info directly into the Training module.  There's definitely scope for improving the ability to enter training data in general (right now, it's a single entry per user/training event combo-quite onerous when multiple users complete a single course, or a single user completes multiple courses). 

     

    Training to work with radioactive materials is managed by EHS.  I don't know what system they use to record it, and the details aren't shared with the IACUC office.  We rely on EHS to limit user access to the materials if they haven't been signed off to use them.

     

    It could be useful to have a 2-way communication system-e.g., if someone gets assigned responsibility to work with a specific material, Cayuse will notify whoever provides clearance/training to work with it (with flexibility given to users to update recipients themselves, without requiring vendor assistance).  That might be a useful functionality for training overall; if a user gets approved for an activity or material that requires a specific hands-on training and they don't already have a certification date for it, maybe they could get an auto-generated email (cc'ing the PI and trainer?) that asks if they'd like to request training now or wait until later. 

     

    Anyway, I hope at least some of what I shared will help with product development.

    Wow, Cheryl.  That is a great response!  Very inclusive and comprehensive.

    I was about to reply to Sarah and saw that you had written already.  I concur with your thoughts. 

    Sarah, Where I've worked, there has been an existing process (with its plusses and minuses).  Indeed, the IACUC and the safety office worked (to develop it) and work (daily) together, and I find it tips slightly to risk management/EH&S taking the lead and providing the "check" to allow a person to do animal activities.  That, along with PPE and other stipulations, is what's needed in the Training section of the IACUC application.  The details - some confidential and possibly HIPAA compliant - are kept with safety and medical personnel.  I underscore what Cheryl wrote about the back-n-forth communication and the desire for multiple bits of data in various categories to be collected and confirmed.

    Overall, I would be advocating for Sarah's option of the "institution prefer to import clearance records into Cayuse from your current system".
