    Our institution is looking into adding SP and Proposal to our Platform but we predominantly take in State and Local Grants versus Federal Grants. How do other institutions customize their needs in SP and Proposals for State and/or Local Grants?

    Your input would be much appreciated and assist us in our presentation to Leadership/Admin.

    I don't know if this will be helpful, but I'll give it a go.  For a reference point, we have some combination of federal, state, private foundation, and local government grant proposals, as well as industry, government, and federal agreements of one kind or another that go through our office.  Basically, all the things.

    Another reference point: we customize the what-for out of Cayuse.  Our file probably has some sort of "oh no, they're back" sticker on it for the next poor person who has to help us implement a new module or modernization.  They're too kind to say so, but I have my theories about this ;)

    Now, all that said, you obviously can't do system-to-system submission for non-federal proposals.  So... we don't (no kidding).  But the front-end Cayuse SP - soon to be Proposals on our campus- record is the same for either kind of sponsor.  I find the grants from smaller sponsors to be perfectly easy.  We just store a pdf of the "Proposal as Submitted" and keep submission documentation in the Attachments section so that post-award can find those things in the event of an award.  It has been entirely straightforward.  (you know.... most of the time)  I find some of the agreements to be harder to get Cayuse SP to fully tell the story of what happened.  There's often no deadline for contract submissions, for instance.  Agreements without Funds (such as Data Use Agreements) are a little tricky.

    Also,  I no longer remember exactly how much we customized SP to our needs - how far we strayed from the template.  Some poor soul at Cayuse with OU-caused-PTSD probably knows, but let's let him rest, the poor dear.  I would be happy, though, to have a Zoom meeting with you and show you how it all looks for our non-federal proposals.  That might be the most helpful thing.  Just let me know.

    Hi Amanda! 

    When we first implemented Cayuse, we just had the one module Cayuse424 (now Proposals) that was designed for S2S submissions. However, only about 40% of what we submit is federal and we always used Fastlane / Research.gov for NSF submissions so the actual number of submissions from the Cayuse software was (and still is) pretty low. It was the functionality of the software to route for approvals that drew us in. And thankfully we were able to modify our processes pretty easily to fit into the system capabilities. It was just icing on the software cake that it filled in the Grants.gov forms for us, was able to draw in HR data for user management, (eventually) ability to report, etc. Our process is to do a lot of handholding throughout - 80% of the data entry is internal to our SPA office - so all of the benefits of the S2S portion really were a benefit to SPA personnel to reduce duplicative entry, mistakes, typos. 

    When we did move to SP, the process itself was already there, just a matter of putting our mark on the software. We still only do a small amount of federal through the Cayuse software but the benefits are worth it. Happy to answer other questions if you have them.
