    Greetings Cayuse Community,
    We are reviewing our Occupational Health Program(OHP) and the process for assuring OHP participation, enrollment or medical clearance for personnel working with animals and hazards arose.  Do you have any suggestions on how the Animal Oversight or Biohazard modules can be used by the IACUC to confirm personnel are enrolled in the OHP or medically cleared to work with the hazards on an animal or IBC protocol?

    Hi Steve,

     

    We have events in Training Management for this, e.g., OHP Risk Assessment, OHP Clearance Online, OHP Clearance Employee Health. 

    We run the Personnel Training History to generate our clearance renewal list based on the OHP Risk Assessment date and update it with each completion.

    Hi Steve,

    Would you happen to also have the Training module?  If so, you can create an OHS clearance Training Event and give it a Yes for IACUC-related (perhaps also IBC-related, if that's an option; we don't have the Biohazard module, so it doesn't show up as an option for us).  If you go this route, you would also need to set up a process for an administrator to enter the OHS clearance completion date, or possibly have Cayuse develop an integration with the OHS database to enable it to load automatically.

    What we do here is ask our OHS team to cc our IACUC team (me!) when they send out the email notifying an individual that they have been cleared, and I log the date into an Excel file I've created for tracking a few details about animal users; this is useful to me because it sometimes takes a while before an individual gets added to a protocol, and I can keep track of their preliminary progress through prerequisite activities more easily through this external process.

    Tim and Cheryl,

    I want to clarify the Cayuse product you are referring to when using "Training".  Is it Training Records, the new module, or Training Management, the one embedded in AO?

    I could not get TM to work in a way I had hoped for.  I am very hopeful that I can use TR for a new implementation.

    Checking and confirming occ health processes is quite the chore.   Any bit of automation will help.

    A related question.  What is your program's renewal time period to update enrollment?  Every one, three, or more years?

    Honestly, I'm not sure.  This is how it shows up in the (pre-Bend) Mailbox:


    We require medical clearance and respirator fit testing to be updated annually (with wiggle room).

    Cheryl,  That looks to me like TM within the former IACUC module.  I say looks like because the first image below is how it appears in my version.  As I recall you are still on the eSirius version, right?  And you have the vivarium module, too.   So, the terminology and modules are part of the mystery here, what is available to each of us.



    The "new" TR is shown as here.  It's a distinct module within the Risk Management family.  I have not used it, but have watched demonstrations.  I think it would be helpful to us all if any user could share his/her experience.

    Hi Bruce,

     

    We are using the original eSirius training module accessible from AO. We require completion of an occ health questionnaire annually. Medical Evals are scheduled as needed based on exposure risks.

    Hi Bruce, Cheryl, and Tim,
    Thank you for your insights on OHP documentation in Cayuse/eSirius Animal Oversight.  I am looking for something beyond a question with a checkbox in the Animal Protocol form that the animal users would complete.  

    The concept of maintaining an external shared spreadsheet for OHP Participant documentation of OHP clearance, etc. sounds good.  
    We also have the Training module from the old eSirius Cayuse Animal Oversight version (as shown below).  Currently we only use it to record OHP initial training, but adding other OHP required events sounds like a good idea.
