  • 1.  Cayuse/Animal Oversight + SOPs

    Posted 03-07-2024 09:16

    Hi everyone

With our recent migration to Cayuse, we have been doing a thoughtful review of many other policies and procedures. We find that sometimes PIs struggle because they might not be aware of or reference relevant SOPs mantained by the animal resources team. Has anyone found any neat ways to integrate SOP storage/access with Cayuse?

    Brittany,

You can embed URLs to SOPs (specific and libraries), other documents, websites, etc. in the "instructions" box atop each page of the protocol form.  As such, they are nicely and directly relevant.  See the screenshot.

    Hi Brittany,

We have a SharePoint site where we post all of the IACUC Policies, Guidelines, SOPs, etc.

In the protocol form, we add footers linking to the Sharepoint documents that are relevant to the content that goes into section; for example:

    Cheers,

    Hi again!

Here is another way we leverage Cayuse for linking to IACUC documents.  In the Non-Surgical Procedures section, via the dictionary, we incorporate links to standardized methodology for certain procedures (in the Description field, we put: <a target="_blank" href=SPECIFIC.URL>What we call the link </a><br>  --and we sometimes add other text, but there is a character cut-off to be aware of):

    Cheers,

    Cheryl

Cheryl has great suggestions here.  I've used the dictionary approach, too, for the non-surgical procedures; hers is far more elegant.

Her point about the character limitation is absolutely spot on.   We need to ask Cayuse "why?".

    Hi Brittany,

We are still working on implementation, but we have a number of facility SOPs and policies (that live in box) and it looks like we will able to integrate them into the procedure dictionary.  Similar to what Cheryl describes, we plan to use the format of <FACILITY NAME SOP> as the "Abbreviation/Type" and <SOP X.X - Title> as the "Procedure" and the URL for the box file as the "Description."  Keeping the SOPs and policies in box allows us to manage access controls on those documents.

Cheryl - thanks for pointing out the character limit in the "Procedure" field...we will have to look into that!

    cheers,

    Nadia
