I'm so glad the information I provided helped you out today. Always remember to preview the approval letter before releasing it. I always do this, because it helps me catch the more common missing elements within the approval letter. Typically what I find missing are the admin check-in date, review category/ies, or an incorrect expiration date (for those studies still requiring continuing review). I always forget that even though a task has a line through it, we can still click on it. I was only just looking at the Decision Tab towards the bottom verses actually going in to the Make a Decision Screen itself. This actually helped me today as at first I didn't see an Admin Check in Date when I went to put the post review letter together and when I went into the Decision screen I saw that my reviewer actually checked that it required Continuing Review, which prompts a different letter with the Expiration Date.

I am able to go in to the make decision screen to add or change the admin check-in date before releasing the approval to the PI. Because I know my reviewers are famous for forgetting this, I always check the decision screen before proceeding with the release of the approval. I hope this helps answer your question. I thought I read somewhere that this date could be set through the Modification process, but I have never experienced this. Since my reviewers sometimes forget to set this date or to set the date for the 3-year allowed period, I always check this prior to releasing the approval to the PI. I hope this helps.

What do you do if a reviewer forgets to enter the Admin Check In Date? Is there a way to go back into the system as an Admin and get it entered? From what I can see, I can't. All I can do is manually enter an Admin Check In Date in the Approval Letter, but then it isn't in the system to set reminders. We are then dependent on the PI to remember to submit a Renewal or Closure and they usually don't remember.
