    Thought we were able to add guests to meeting agendas but all I see is IRB Committee Members. Anyone know how in Human Ethics? Thanks.

    Hi Sharla,

    The instructions can vary a bit, depending on how the institution is connected to the Platform and whether they are internal or external collaborators and how to get them on, but a colleague said they'll look at your set up and work on some instructions!

    Hi Amanda,

     

    We've had this same confusion but have figured it out. They can be added on the first meeting page where the board members are listed. There is a "+" sign in the upper right and you can add people from the Cayuse database. The part that makes it the most baffling is that, to our understanding, they must be added as guests prior to completing the agenda and starting the meeting. Otherwise, there doesn't seem to be a good way to add them, except in the notes. While this is probably fine by regulations, it looks messy to my eye.

     

    As a side note, if you're including consultants, remember to enter into the minutes the basis for their invitation, their expertise, etc.

    Appreciate the help! For clarity, add the guests as "Member"(+ sign). When the meeting starts, they change into guests on the Agenda?

    Hello Dr. Hoang,

     

    Yep, that's the method. Although it says, "+ Members" (or whatever it says), it will add them as a guest, at least in our version of Cayuse HE. (I just checked. You can also delete them, if you just want to try it out.)

     

    This is the only way I've found of appropriately adding guests or consultants to the meeting. You can modify the minutes PDF and then upload it, as an alternative method. But this would always generate two conflicting records (the native record and the uploaded record), so you'd have to note in the minutes that the uploaded version was the official one.

    Good day, All! 

    This is a great discussion and has brought to our attention the need to add a section about how to add people to meeting agendas in our Human Ethics support articles! We are working internally to include instructions on that page. Once updated, I'll post the link to this thread. In the interim, I have instructions for adding people to a meeting on the Human Ethics/Cayuse Platform version. We are also working on instructions for IRB Classic. Both will be included in the support article. In the interim, here is a starting point! Thank you Daniel Kirienko for jumping in to help the group!

    1. Navigate to the agenda page.

    2. On the "Attendees" tab, notice a [+ Add] button the right side. Click the button and on the "Find People" page, start typing in either the first or last name of the person you wish to add, then click "Save".
       

     

    1. Note: Only individuals that have an active Cayuse account can be added to the agenda in this format. You may either:

      1. Add them to the system as a guest user if they are external to your institution via the Cayuse Platform Admin, or

      2. Add their name in the free text field of the "Notes" section of the ad hoc agenda section
