    Hello,

    For those of you in the vivarium using the Veterinary module, how do you use the 'found dead' observation?  We would like to use the feature to alert our PIs but are running into a problem.  The cases automatically close not allowing the PI to view the information.  They can just see that there was a case.  Has anyone found a way around that?
    Our technicians are currently sending a separate email to the PIs but we would prefer it to be automated, all-in-one thing.

    Hi,
    At UTMB in Galveston we also wanted to view the health report on found dead. What we had to do is hide the found dead and create a dead found to stop the automatic closing. I do want to caution you on this change. Because the automatic closing did not occur on dead found meant the AHEALTH had to close each report which proved to be very cumbersome to the point we had go back to found dead.

    I would recommend training PI on how to search for health reports. Under Veterinary Care select Animal Search from the action dropdown menu and filters Animal ID which is the created medical record. If unknown use Animal ID starts with MR and  any other applicable filter as needed to view the record. Without the MR number research may need to search a bit since the grid does not provide found dead or date the medical report was created or health report submitted. Perhaps Cayuse will be able to add that information.​

    While our found dead cases do close automatically, we have our outgoing system-generated email set up to include the following details:

    Dear Colleagues,


    The following animal was found dead during routine daily health observations:

    Event Date

     

    Associate Reporting Event

     

    Protocol

     

    Responsible Scientist

     

    Principal Investigator

     

    Other Personnel

     

    Room #

     

    Arrival Date

     

    Order ID

     

    Vendor

     

    Strain

     

    DOB

     

    Gender

     

    Zygosity

     

    Animal ID

     

    Cage Markings

     

    Number of Animals per cage

     

    Number of Animals found dead

     

    Comments

    2/3 found dead during morning observation…


    Note(s): Animal carcass will remain in the necropsy refrigerator for 24 hours during weekdays, and until the end of business Monday for animals found dead on Friday and weekends. After that time, the animal will be moved to the carcass freezer.

    Maybe it is just a matter of requesting Cayuse to update your outgoing email to include more fields?

    We had a similar change created to the outgoing email notification. 

    We wanted the subject line to contain enough details so the researcher could take action, IMMEDIATELY, if there were tissues or scientific data that could be saved. Towards that end, our subject line was updated to the following:

    Subject: Veterinary Care: DPP_TOWER / E5013 An animal has been found dead in cage: 0000769650

    The body of the email has further details in a table format along with a short narrative on where to locate the remains - similar to what was previously listed. 

    Our issue has been on the submission side - the Husbandry Technicians are only seeing a Medical Record #, but then the researchers are receiving the Case Record # in the automated email notification. The Case Record is a subset of the Medical Record - so training would have to be made to the researchers to understand how to convert that back to the Medical Record. Moreover, that means the Death Notice card accompanying the remains contains the wrong dataset (the Medical Record + Cage Card Number), when it really should be the Case Record + Cage Card Number - to be consistent with the email notification.
