  • 1.  Searching and downloading info on status changes in SP 4

    Hi everyone,

    Is there any way to search and build reports based on information in the "status change" function of SP4?  We need to be able to track proposals by submission date (not deadline) and to differentiate between proposals that were closed because they were declined or for some other reason?  I can only seem to track data that is entered into the text boxes on the forms, but nothing else.  Am I missing something?

    Hi Mark,

    My apologies for the slow response on this while I tracked down an answer.

    My understanding is that there isn't currently a way to search and build reports like this, but you'd need to download a CSV from your proposal dashboard and then work with that data in Excel/Google Sheets/etc.

    As for the reason a proposal is closed, would it meet your needs to put the reason in a Note in the proposal?

    Can you add statuses?  (and is that really the plural of status?)   Returned Without Review is different from Not Funded, right....?  Similarly, PI flaked and didn't get us documents in time  (OK, phrase that one differently - but that), Cost-Share Not Secured... those are all variations on the Not Submitted theme.  I can see reasons to track those.

    We were advised that the list of System status is limited to those specifically available with the few child status of 'Closed' not available to view on the dashboard. Therefore, we created additional fields in our smart forms to use for filtering on records later. Something to keep in mind is while you can customize your dashboard view to possibly include that field of the approximately 10 you have, that view is unique to you and you may have to test to see if that persists between logins.

     

    Basically anything that you need to be able to potentially drop into the .csv file to then manipulate for querying and reporting has to be a field you add to your forms if it is something you want to discreetly filter the record data on rather than just the unstructured text in the notes field.
