For Human Ethics - does anyone know if an Org Approver can add/make comments and return the application to the PI? Thanks!

    Hi Amanda,

Org Approvers can only approve or reject applications; they cannot make comments directly in the electronic application. Many of my Org Approvers wish that Cayuse would enhance the system to allow them to make comments but so far this is not the case. I think I have submitted an enhancement request to Cayuse regarding this very issue. For now, Org Approvers must send the PI an email conveying their editorial requests and other concerns. I realize this is not very efficient, but this has been our standard operating procedure for Org Approvers since we have had HE (since 2018). It would go a long way to convincing Cayuse to enhance HE in this regard if you and other institutions would submit this same enhancement request. I hope this helps. Happy holidays to you and yours.

    Hello Sharla,

Appreciate your response. Would be nice if Cayuse could make an enhancement specialized for institutional needs. Like other programs, and they include the option in the Support Request. If we could advocate for this option would be great as well. I am noticing when I make requests, many of their staff do not understand the flow of IRB/Research. Again, appreciate your feedback and hope to communicate with you again soon. Happy Holidays to you and yours as well, and keep safe!

    Hi Sharla,

I'm trying to find some information regarding Org approvers. I couldn't find anything on the support site. Would you mind pointing me in the right direction? Or any additional information that may be helpful? I can be reached at weldon.george@tcu.edu

    Kind Regards

Org approvers (people in the PI's administrative chain like deans, directors, department chairs, etc.) can (and ours frequently do) include a note when they send a proposal back to the investigator for corrections. They should also have the ability to add a note to the proposal record itself, even outside of the approval decision. It would be cumbersome to try to do a full-on edit of the proposal in this way, but at the very least they can say which document(s) need fixing and what they'd like to see happen with them.

    Hi Michael,

Your statement regarding Org Approvers adding a note to the proposal record in Human Ethics seems contradictory to what I learned through a Cayuse support ticket yesterday. I submitted the following question about one of the help articles that mention this role:

In the support article titled Addressing Comments (see highlighted language in the attached), I noticed a statement that confused me in this resource: "Depending on how far the submission progressed, you may see comments from the Analyst, your Organizational Approver, or from the member(s) reviewing the submission." As far as I know, the Organization Approver is unable to leave comments directly in the submission like the Analyst and Reviewers roles are able to do. Unless I am misreading this statement, should Cayuse revise this statement to remove Organization Approver from the statement? Maybe add a separate statement to note that the Organization Approver should send the PI a separate email to the PI should they need to return the application? Please advise. Thank you.

The support representative who responded to this question told me I was correct in my thinking and that the help article needed to be revised.

My question to you is how are your Org Approvers able to add notes to a proposal in Human Ethics when it's in routing? Let me know. Thank you.

P.S. Here is the body of the information that was provided to me based on the question I posed:

Here are some other Help Articles that speak to your inquiry regarding the role of the Org Approver, and your find is correct -

    https://support.cayuse.com/hc/en-us/articles/360022706854-Notifications-Understanding-Certification-Study-and-System-Messages

    Certification Messages

Certification messages are displayed when the research team or organizational approver must confirm certification before a submission can proceed through the workflow.

    ·         Org Approver Certification: The text of the certification message that an Organizational Approver must acknowledge in order to certify the submission.

    https://support.cayuse.com/hc/en-us/articles/360022563454-Emails-and-Notifications-Understanding-Workflow-Messages

    ·         Full Expedited review required: Sent to the assigned reviewers when a submission has been assigned to them for an expedited full board review. Notifies the reviewers who the assigned full expedited reviewer is, as well as any additional reviewers.

    ·         IRB Office returned submission to research team: Sent to the PI, PC, and Co-PI when the IRB Office has returned a submission to them for changes.

    ·         Org Approver returned submission to research team: Sent to the PI, PC, and Co-PI when a designated Organizational Approver has returned a submission to them for changes.

    ·         Organization approval required: Sent to the designated Organizational Approver(s) when a submission requires organizational approval.

The Org Approver feature brings in personnel tagged behind the scenes with the Co-PI role.
There is no option to require it for only the PI.

With all this said, pointed out, you are correct Sharla, and I have made our specialist who is in charge of updating our Help Articles regarding this find. Thank you for bringing this to our attention, and for using the Articles and helping with a better experience for our users in supplying correct, updated, and clear information.

Aha, that's context I missed (this is what happens when I don't read all the way to the end of the thread. It's possible in SP, which is the module I interact with the most. Sounds like it might not be in HE - though maybe it should be?

Simon, is that anywhere in the development queue, or should we consider adding it as a future enhancement request?

Happy to look into this, Michael! Just to be clear, you're wanting to know if it's planned to let the Organization Approver leave comments in Human Ethics submissions?

    Hi again,

I just checked with the Human Ethics team and they're aware of this request already, but @Amanda Hong did submit an idea for it and it never hurts to vote to raise visibility!

    Hi Amanda,

I don't use HE, but perhaps Animal Oversight is similar enough...  At our institution, we assign our IACUC staff committee member roles within the system (even though they aren't truly on the committee), which allows us to enter comments that are visible to the members when they are conducting their reviews, are retained in the audit trail, and are available for collating when reviewer comments are returned to the PI.  The privilege doesn't have to be limited to the office staff--anyone that may need to comment could be given a reviewer role and assigned to review the submission.

    Cheers,

    Cheryl
