  • 1.  Multi Project CAYUSE SP Subcontract Tab (is naming for Identification possible?)

    Posted 09-13-2021 16:21

    Hello all,

My name is Sonata and I am the Research Administrator at Coriell Institute for Medical Research, New Jersey. We have a Multi-Project on board; our institution is Prime and we have several Subcontracts. I have inputted the respective data for it on Cayuse SP  and created Subcontracts using the Subcontracts tab; however, what is making this process is little convoluted is that the Subcontracts in our multi-project also have a variety of different project components as the name suggests; i.e. Admin, Pathology, Project 1, 2, 3, etc. I hope I haven't lost your attention yet.

My question is: is there a way to name the Subcontract project components within the Subcontracts tab? For example Xavier University (Admin core), Xavier University (Pathology core), etc. As of now, it's becoming hard to identify which component is which right away. And, it becomes even more problematic because I am not the only one viewing this data; we have our finance team, PIs, ad hoc personnel, who don't have time to click into each tab trying to figure out which institution has which component. Please let me know if there is a Naming solution to this, and if so, how can I access it. Many thanks in advance!

This is a good question, Sonata, and I can see how this gets complicated. I'll ask my colleagues if they have an answer for you!

    Hi Sonata,

I'm not sure this is what you're asking, per se, but we ran into such a problem and "solved" it the way we decided to handle multi-component projects in general: we create separate proposals for each component.  A component that's composed strictly of a sub's costs is entered with the overall PD as the PI, but at no effort; each budget year is simply the subrecipient costs (plus F&A on the first $25k in the first year).  To your specific question, we hijacked the "Subcontract Contact Email" text box to include the institution/PI on the Subcontracts tab.

Hoping the Platform will offer more flexibility...

    cheers,
    -Lisa

    Hi Sonata,

For our multi-project submissions, we create separate IPFs for each component that has the budget and subcontractor documents for that component attached.  We make the admin core the "main" IPF and then we title the other IPFs as related to IPF#_______ and state what component they are.  Then, if it is awarded, we have one project that all of the IPF's will be attached to at that point. So for example, Main IPF has the title of the whole project with (admin core) at the end.  Then each related IPF and component will start with show "Related to IPF________ - the title of the project (pathology core).  In that way, it mimics the 424 package as well for each component that had to be created for it.

    Thanks,
    Jennifer

We're setting up one like this now (that also includes Program Income - shoot me now) and we're setting up separate IPF's as well.
