  • 1.  IACUC Animal Oversight FAQ

    Hello All

    we are getting ready to lunch the IACUC Animal Oversight module in our facility. I am putting together some training materials for Investigators. This would include a FAQ section; I am having some trouble deciding which questions I should include and was hoping that. I can get some suggestions, or if someone is willing to share their list of questions. that would be most helpful.

    Hello Harry,

    I don't really have a FAQ sheet available and since we host the software on premise some of our answers would likely be different than if we were on SaaS but some quesitons I would suggest to include would be as follows:

    "How do I get into Animal Ops?"

    Basic instructions and link to the site for log in and what that dashboard will look like (how it is the same or different than what they are accustomed to)

    "How do I create an Amendment/Three Year renewal/New Protocol?"

    Basic function on how to start a submission and submit.  Depending on whether any previous protocols were migrated or not, this may need to be more extensive.

    "I can't find the staff member I am trying to add; what do I do now?"

    Information on how to add a new person to the system or instructions on who to contact to add the individual to the system to then add onto a protocol.

    "How do I see and respond to review comments?"

    Guidance on the various symbol meanings and how to find and respond to reviewer comments.  This could include a reminder to make all changes directly to the protocol submission sections as well and not just in the rebuttal.

    Those were the main items that I could think of.

    Hi Harry,

    Something that our users are often confused about is how protocol participants are enabled to place animal orders. I'm assuming that the process for Klamath Falls is the same as it is for the older version we're still using at my location, which is for IACUC staff to administratively add the participant to the PI's group.

    Protocol participants tend to think that being listed on a protocol is sufficient to obtain the ordering privilege.  It gets even more confusing when a protocol changes hands to a new PI, since the assigned privileges don't carry over (they're tied to PIs, not protocols), and people that used to be able to order animals can't anymore.  Of course we let the new PI know (via email) that they need to follow up with us if they'd like people to retain their privileges when the PI transfer is approved, but they often overlook doing so.

    I think it's also important to make PIs aware that anyone assigned to their group is granted the privileges for any of the PI's protocols, not just the protocols that the individual is listed on--and someone given the privileges doesn't even need to be listed on any of their protocols.  Also to make them aware that if someone is given animal ordering privileges, they're also given amendment/revision-making privileges.  There's no way to parse out the privileges (again, I'm assuming there has been no change to the process over the span of multiple upgrades to the Animal Oversight module); this may give some PIs pause regarding whom they want given privileges.
