Anyone else find "My Tasks" misleading?

    Has anyone else run into this problem?

    I am only using Human Ethics on Cayuse, and on a regular basis, I'm contacted by my researchers saying "I got an email to certify a study, but when I looked it's not there." Nearly every single instance is someone at the main Cayuse landing page looking at a big blank MY TASKS list.

    Human Ethics uses the same verbiage of "My Tasks" which is where one would go to find applications in progress or requiring certification. It's one of the first things I commented on when training on the new Admin Module, that I could foresee it being very confusing to have the same label for two different things, and sure enough, it is.

    Is this a problem for anyone else?

    Ann,

    It's a challenge for us as single product (HE) users as well.  We have a boilerplate reply with images and try to really emphasis the two steps to access in our training and support documents.

    Not really a solution, but you are not alone.

    Good morning Ann,

    So far, I have not experienced this issue with my researchers. This is an interesting conundrum that perhaps Cayuse should have considered in the planning of this new platform. I never thought of this until now, and I realize that this could be extremely confusing to PI's. Something to consider for a future update to either Platform or to Human Ethics.

    I don't care for the "My Tasks" landing page either. We don't use the "my tasks" feature and are currently only using the Human Ethics on the platform so faculty are confused on where to go to get to the platform.  Perhaps the App switcher could be in a box in the middle or prominent on the platform for those end users who aren't using it very often.

    We are not yet on the platform, so this is good to know.  It was originally presented that My Tasks would include ALL tasks across the all Cayuse products. 

    This might not be helpful at all, but could your notification template direct them to the HE URL instead of the Cayuse landing page? Or do they have to navigate thru the landing to get to HE?   Pre-Platform allowed this.

    Hi Matt,

    It was also our understanding that ALL tasks would appear on this landing page - across all modules, but I do not think we are seeing this with any consistency if at all.

    Matt,

    The way My Tasks was originally presented, or the way I originally understood it, was as you just described, that it would integrate and include ALL tasks across the the different products on the platform. Technically speaking, this is true, but the tasks that get generated are more like a ticketing system, in which you need to manually create a task, tag individuals, set Due dates, etc. My original understanding was that the items that display under the My Tasks card of HE would also populate to the main My Tasks list on the landing page, but it quickly became apparent during training for the new Admin Module that this is not the case. The My Tasks list on the landing page is completely separate from the My Tasks card on HE.

    My initial suggestion during product training was that if they can't simply integrate the two and make the HE tasks appear automatically in the My Tasks list of the landing page, then they should use separate labels to designate the two distinct lists: My Tasks for the card in HE and Assigned Tasks or something similar for the new function,  which I think would denote that this is a ticket someone specifically created and assigned to you, rather than something generated by the system.

    Hi Ann,

    We're in a similar situation in which we only use Human Ethics.  Our research team hasn't run into any issues, but I've had a couple of our Board members get confused by the "My Tasks" on the landing page and they think that when they log in to Cayuse that it should take them directly to the Human Ethics page.  Like Darcy mentioned, I've also developed a document that walks through the appropriate steps to navigate to the correct page.

    I am curious if your users are seeing our in-app guide that should help them understand what "My Tasks" are, where to find "My Products" and even how to view their own profiles in the system? Do your users get this pop-up when they first sign in and does it help at all with this issue?

    Hi Justin,

    Thanks for the suggestion. This does pop up at first login, though my guess is that most people close it and never see it again. Further, understanding what "My Tasks" in the landing page is would not really be helpful as even then it would just educate them on something that is not what they are looking for. I do recommend that folks take time to review the in-app guides and tutorials and will be sure to make that recommendation more prominent, but I'm afraid that for most folks, simply emailing me to say "Cayuse is broken, please help" is the path of least resistance and therefore the path most chosen. It still remains that using the same labeling convention and verbiage for two completely different sets of data is problematic and confusing.

    You are not the only one. I have to direct everyone on each correspondence/email a reminder how to access the HE Dashboard and is also in our User Manual we developed. Feel the "My Tasks" landing page is misleading as whatever tasks you have in HE or other products (ie Post Awards, etc) you have do not carry over to the "My Tasks" landing page.

    Instead of having the landing page, it should just have a Product selection landing page or updates/notifications from Cayuse.

    Hi, Ann!

    Our institution only uses Human Ethics too. Before we were migrated to the new research platform, we were originally advised that users would go straight to their dashboard after logging in (since 424 was going away).

    However, upon implementation, users now need to select Human Ethics from the Products menu first.

    I completely understand the My Tasks screen i.e., as an integration tool across the Cayuse suite. It just doesn't make sense for users who only subscribe to one product.  Besides that, we had to change, then alert our users of switch (from users being directed to their dashboard to users having to select Human Ethics from Products).

    And agree, that having My Tasks, with two different purposes, in the same application can be confusing...

    I agree that the My Tasks landing page is confusing.  When I was testing Outside Interests, I had the same issue.  I had trouble figuring out where to go to submit an Outside Interests disclosure.  Whenever you login to Cayuse, you get a page with no tasks listed.  What is your next step?  It is not intuitive for brand new users to have to find a product chooser (for HE) or click My Profile and then COI Disclosures link to submit an Outside Interests disclosure.

    While both of these can be mitigated with good training materials, getting dumped to the blank My Tasks "home page" upon login is not ideal.  The very first time you login to Cayuse, you get a little tutorial popup.  But many people don't take the time to read it and it is gone unless they snoozed it.  In my opinion, the link in the emails from Cayuse should take you to the exact location, not drop you at a landing page that shows no tasks to be completed.  And leave the user confused about where/how to navigate without looking up training materials.

    Hey Ann (and everyone else who has contributed to this thread),

    Thank you for your feedback regarding the Tasks/Platform Landing Page. We have enhancements to this centralized tasks component on our roadmap for Q3 of this year; our goal is for this to be the 1 place that all products utilize for tasks, so that tasks for all products would display in 1 location and wouldn't cause confusion such as this in the future. As we work towards these enhancements I would love to get feedback and input from those of you who are experiencing issues to ensure that we are building something that is meeting the real needs of our customers.

    Once we have enhanced the Tasks feature we will then be looking at building out the landing page more, to give it a true dashboard look and feel; allowing users to add widgets to their landing page to display relevant data from specific products.

    For those of you using only one product on the Platform, we are also looking into ways to improve that user experience. Again, as we progress with ideas for that, input from any single-product customers that want to share their thoughts would be awesome.

    I appreciate the update and to hear that a fix to this issue is already on the roadmap. I do hope you can find a way to integrate the My Tasks within HE to the My Tasks on Admin, it's still unclear to me whether that's part of the plan or if I'm misunderstanding something.

    Hi Nate,

    Just checking in to find out about progress on automatic integration of in-module assignments to the Platform Tasks page.  If someone is assigned an activity within a module, does the system automatically populate it on the My Tasks page now, or would the activities need to be manually/redundantly assigned to the My Tasks page for them to appear there?  Otherwise, based on the user experiences shared on this page, it sounds like there's a risk someone could log into Cayuse, see nothing on the My Tasks page, and easily assume they had received an email alert in error and don't really have any assignments to complete.

    It has been our experience that "My Tasks" do not show on the "Home" page; this has created a lot of confusion.  The task seem to automatically appear when they select a specific product (e.g., Human Ethics).  There would be less confusion if the "Home" page listed task and indicated the product.

    Hey Cheryl!

    Thank you for your message. The Platform team is working on improving the task module in general in Q4 (with task attachments) and into 2024. A lot of these enhancements are being added to SP at the same time, as there is an existing integration there. For other products (such as HE), they would need to integrate from their side in order to take advantage of the tasks feature on the landing page. I have reached out the PM over Human Ethics to help provide some insight as to when this may be possible based on their current roadmap/direction.

    Hi Nate,

    Our campus will have 4 products: HE, OI, SP, and 424. The Products drop-down menu ought to be far more prominent than it is. An exclamation mark makes me think there is a message or error under that tab rather than the products I need to access. Adding a products bucket to the Platform dashboard with all products visible seems like a far easier fix than the task integration, and would (in my opinion) significantly help with our user confusion. At least until the task integration is solved. Leaving our users high and dry with a blank landing page is not working. I have PDF's, videos, and instructions in Cayuse emails, and we will always get those users who don't look!

    I also echo wholeheartedly that Tasks automated in HE should be integrated into My Tasks on Platform, but they seem to be two completely different workflows? I could also see HE tasks inundating the Platform tasks. Perhaps only certain Tasks on the Researcher and Reviewer end could trigger the ad hoc task for Platform. For example, when a study is sent back to the research team for revision, when a study is assigned for review, or when a study requires certification. Perhaps the ad hoc task trigger could be linked to HE emails or notifications? And wouldn't it be cool if we could toggle on/off an ad hoc trigger per HE notification?  I think Analysts and Admin know where to find things, and keeping the task trigger focused on PI's and reviewers would help with their confusion. 

    We love Cayuse products and we appreciate this community where we can directly communicate with the Cayuse team!

    Hey Leah!

    Thank you for your feedback. Making the Platform Landing page more intuitive is something i want to address in 2024, and is something i will be working with the Platform CAB on during our future meetings.

    I will make sure that the HE team see's your thoughts about HE tasks. We definitely don't want to overwhelm users as they log in, but want to provide them with as much useful task details as possible from other Cayuse products.

    Yes!  We run into the same thing.  Especially when a lot of our researchers are one time users and not used to Cayuse.  I have to remind them to go to the Products dropdown and choose "Human Ethics".  I had to do this with our reviewers as well, who forget how to get to their dashboard.

    Thank you all for sharing your experiences in regards to this aspect.  My institution is one that is still currently on premise with a limited number of modules (Animal Ops, Vivarium, Vet, etc) and are just starting our discussions about modernization and movement to the cloud.

    Hearing about these challenges and the development roadmap to improve things helps us as we are looking into this process.

    Thank you for always bring areas of the product where your users are currently experiencing difficulties with usage of the system. This help us understand the major areas where you are seeking attention from our end.
    As Nate Owen previously mentioned, we did hear about Human Ethics task integration to platform and has been added to our future road map.

    We have been working in the design and development of some needed functions for Human Ethics and will start looking at our future road map for our next designs.
