    The Research Grant Specialist II (RGS II) works with Principal Investigators (PIs), Research Coordinators and other research staff to complete and submit federal, industry, and non-federal clinical trial and basic science grant applications and serves as a liaison between the department or research groups and sponsored research funds administration, Accounting, and Finance departments. The incumbent will work with the department Research Manager, Executive Director, Chair, and Research Faculty members to create clinical trial and basic science grant applications and budgets and works with Research Coordinators on post-award management (invoicing, monthly reporting, cost transfers, and project closeouts), creates research staffing models, projections, and meets monthly with research programs to review research portfolios.

     

    This role generally performs all Pre and Post award administrative functions including, but not limited to, ensuring internal documents are prepared and routed for approval and processing, monitoring grant accounts, tracking all expenses, providing grant and financial reconciliation, and research-related financial reporting. Ensures compliance with all internal policies and procedures, federal and local agency requirements including the Food and Drug Administration (FDA) and local Institutional Review Board.

     

    Primary Job Duties and Responsibilities:

    • May contribute content to standard sections of grant applications.
    • Ensures internal documents are prepared and routed for signature and processing.
    • Monitors grant accounts, tracks all expenses, provides grant and financial reconciliation, and research-related financial reporting.
    • Monitors Time & Effort for accurate reporting and performs necessary funding corrections via direct cost transfer requests.
    • Responsible for grant close out.
    • Identifies opportunities for research funding opportunities.
    • May negotiate budgets for clinical trials.
    • May assist with research participant billing.
    • Maintains research practices using Good Clinical Practice (GCP) guidelines.
    • Maintains strict patient confidentiality according to HIPAA regulations and applicable law.
    • Participates in required training and education programs.

    Department-Specific Duties and Responsibilities:

    • Critically evaluates research protocols to assess resource needs; assessment includes all research procedures, clinical research staff time, investigator time, and costs from ancillary departments.
    • Determines whether research procedures in the protocol are standard-of-care or a research-related costs to correctly classify expenses and works with investigators to obtain accurate budget details.
    • Assist with invoicing sponsors, patient research billing, reimbursement to ancillary departments, and payment tracking.
    • May submit lab orders through electronic ordering system (PeopleSoft) and tracks orders.
    • Provides accurate and timely assistance in editing, writing from verbal and written instructions, formatting, and submitting research grants, reports, and publications following established guidelines.
    • Assists leadership on other tasks as assigned.

    Educational Requirements:

    • Bachelor of Arts or Sciences degree, required.

    Certification/License Requirements:

    • Specialty research certification (Certified Research Administrator), preferred.

    Experience and Skillset:

    • Three to five (3-5) years minimum experience in administration of research grants, or equivalent combination of education and experience, required.
    • Experience working with research groups, the Office of Research Administration, Finance, Purchasing, Academic Administration, highly preferred.
    • Experience with clinical trial budgeting and Post-award management.
    • Ability to establish and administrate grants and funds administration procedures to include business practices and procedures in fields such as customer/client service, Payroll, Human Resources, Purchasing, Accounting, and Accounts Payable (AP).
