    Biostatistics, Bioinformatics and Epidemiology Program (BBE) supplies the statistical and mathematical modeling expertise needed within Fred Hutch's Vaccine and Infectious Disease Division to accomplish our ambitious objective of eliminating disease and death attributable to infection. We are also accelerating research to confront the growing burden of COVID-19, HIV, and cancer-related infectious diseases worldwide.  We are seeking a Research Administrator to help with managing our many portfolios! 

    Responsibilities

    The Research Administrator II-III collaborates with Principal Investigators and interfaces with other departments as needed to provide research administration and to contribute to strategic planning as it relates to their study portfolio.   The Research Administrator II-III works in an autonomous manner to complete grant and award content and tasks, and to advise PIs on relevant matters.  This position will report to the BBE Research Administration Manager

      

    Budget/Fiscal Support

    • Support strategic planning activities of the PI such as providing relevant fiscal information
    • Develop, monitor, track, and project complex multi variable budgets
    • Develop, run, and analyze reports to identify issues and escalate as needed
    • Develop custom report formats to share information with the team/department
    • Partner with finance to resolve identified budget and expense issues
    • Identify and discern discrepancies with expenses and escalate as needed

     

    Funding Source Administration

    • Prepare sponsored budgets including NIH grants, society, and foundation awards, among others, following sponsor and internal guidelines.
    • Lead the study implementation process by conducting key tasks such as creation and communication of timelines to appropriate stakeholders, completion of nontechnical and assigned technical/non-scientific portions of submission, and oversight of institutional signoff
    • Perform key pre and post award activities such as interpreting award notices, flagging unique aspects or budget adjustments, negotiating trial-specific budgets with industry partners, addressing critical budget components to ensure adequate funding

    Regulatory Support

    • Manage renewal timelines and ensure completion of regulatory documents in a timely manner
    • Identify necessary regulatory components of submissions, confirm that required items are in place and escalate issues as needed
    • Determine impact of and develop implementation plans in response to applicable regulatory changes and/or revisions to Center policies and procedures
    • May serve as a central point of contact to answer questions, escalating issues as needed

    Qualifications

    MINIMUM QUALIFICATIONS:

    • BA in Accounting, Finance, Public Administration, or related field. Relevant experience can substitute for educational requirement:
      • Research Administrator II minimum requirements: Two years of relevant administrative support experience, with pre- and post award grant support
      • Research Admin III requirement- 3 years of experience in pre and post award grants management
    • Demonstratable experience and knowledge using Excel –for example, using formulas, calculating values in multi-step processes, preparing account reports, and working with pivot tables
    • Basic understanding of accounting and terminology. Experience managing accounts, account reconciliation, account reporting, etc.)
    • Excellent written and oral communicator
    • High attention to detail
    • Demonstratable experience with successful planning, organizing, and prioritizing your work
    • Excellent organizational skills
    • Interest in working on process improvement with team
    • Ability to source data from systems and generate customized reports
    • Ability to edit basic web pages
    • Ability to navigate complex internal systems and departments
    • Prior experience or exposure to grant writing/application preparation

    OTHER REQUIREMENTS

    • Maintain regular work hours  
    • Able to prioritize and perform multiple duties received from multiple sources and/or situations requiring time sensitivity without loss of efficiency or accuracy
    • Enjoy interacting professionally with a variety of individuals, both internal to Fred Hutch and with external partners
    • Able to carry-out simple and/or detailed oral and written instructions
    • Complete assigned tasks with minimal or no supervision
    • Exercise independent judgment and make appropriate decisions
    • Enjoy learning new systems and skills and adapt quickly to evolving work priorities and demands

     

    PREFERRED QUALIFICATIONS:

    • Bachelor's degree
    • Knowledge of clinical and scientific terminology
    • Experience working in a research organization, a university/medical school setting, or other complex non-profit organization
