    The Research Administrator II-III supports 4-5 faculty and their labs/departments to ensure compliant and effective funding, budget management, regulatory compliance and general administrative duties. The Research Administrator II-III collaborates with the faculty and interfaces with other departments as needed to complete administrative tasks and nonscientific grant content, and to advise the PIs on relevant matters while working with a supervisor to develop effective solutions to related issues. Consults with supervisor for complex or unique situations.

    Responsibilities


    Budget/Fiscal Support

    • Develop, monitor, track and project the budgets for a portfolio of projects with multi-variable aspects (multi-site, sub awards, milestone-based budgets etc.)
    • Monitor spending for adherence to grant guidelines and policies, as well as internal policies
    • Develop, run, and analyze reports to identify funding issues and develop recommendations
    • Develop customized report formats to share information with each faculty and for broad audiences across the organization


    Funding Source Administration

    • Provides guidance on grant submissions and post award activity by conducting tasks such as:
      • Working with faculty to respond to requests from other departments and external organizations
      • Completing/collating of all technical/non-scientific steps and assigned technical or scientific portions of funding/grant submissions
      • Review budgets, identify discrepancies and provide recommendations to the PI on scenarios to resolve the issues with appropriate stakeholders
      • Identify/forecast personnel and other resource requirements (including long-range forecasting across multiple budget years


    Regulatory Support

    • Prepare non-scientific portions of regulatory applications/submissions
    • Identify missing regulatory components that are required and resolve issues to ensure successful submission, modification, or renewal
    • Serve as a central point of contact to answer questions and facilitate solutions
    • Prepare/consult/advise PIs and maintain Data/Material Use Agreements and other data compliance documentation
    • May advise or consult with Center leadership on changes to Center-wide policies/procedures and help create implementation plans in response to changing regulatory requirements (e.g. Uniform Guidance)


    Administrative Support

    • Identify administrative needs for the department or PI(s); prioritize and ensure related tasks are completed
    • Delegate appropriate tasks to Admin Coordinator and follow up as necessary
    • Identify space and resource shortages and collaborate with administration to resolve any issues
    • Oversee the management of projects including occasional event planning and special work groups
    • Communicate with other departments/entities on PI'sbehalf.
    • Resolves discrepancies and issues with stakeholders on PI's behalf


    Leadership

    • Act as a divisional resource and assist with training for new or lower level staff


    Clinical Trials Support

    • Facilitate Clinical Trials Agreements (CTAs)
    • Create, negotiate, and manage budget based on protocol; amend as necessary through lifecycle of protocol; Process invoices to sponsor based on budget developed, insure accurate posting to projects
    • Partner with external organizations to get pricing for research studies, pay invoices based on the pricing and patients enrollment
    • Set up and maintain study document tracking systems, manage multi-site components (if applicable)
    • Attend study implementation meetings as needed

    Qualifications

    Required

    • Bachelors degree required. Relevant experience can substitute for educational requirement:
      • Research Administrator II minimum requirements: Two years in pre-award and post-award grants and contract management or other related grant or contract management experience
      • Research Administrator III minimum requirements: Three years in pre-award and post-award grants and contract management
    • Technical experience sufficient to allow proficiency doing remote work
    • Experience creating and executing strategic plans
    • The ability to delegate tasks to appropriate resources
    • Grants experience with a wide variety of funding sources
    • The ability to analyze and interpret regulations, determine impact, and manage change
    • Multitask without loss of efficiency or accuracy. This includes the ability to perform multiple duties received from multiple sources and/or situations requiring speed while appropriately prioritizing the urgent tasks
    • Work and sustain attention with distractions and/or interruptions
    • Interact professionally with a variety of individuals, both internal and external, such as coworkers and teammates, faculty, service area personnel.
    • Work effectively under stressful circumstances, such as tight deadlines.
    • Maintain regular attendance and be punctual.
    • Understand, remember and follow simple and/or detailed oral and written instructions.
    • Complete assigned tasks with minimal or no supervision.
    • Exercise independent judgment and make appropriate decisions.
    • Communicate to supervisor capacity of workload balance and openly ask questions as needed about policy and regulations


    Preferred

    • Five years of relevant experience, Three years as a research administrator preferably with principal investigators/academics/non-profit
