    The Associate Operations Director (AOD) serves as a research administration and operations leader for the Human Biology (HB) Division and reports directly to the Associate Vice President, Division Operations (AVP). The AOD provides expert guidance to faculty and staff and works in partnership with the AVP to manage administration and operations, budgeting, personnel, space oversight, and strategic planning for the Division.

    The AOD contributes to senior administrative decisions and policy development for the Division, in partnership with the AVP and the Division Executive leadership and facilitates strategic planning and other Division-wide initiatives. The AOD is considered a leader in the Scientific Division Research Administration Community and may act as a delegate of the AVP with a focus area in one or more of the following key disciplines: general research operations, faculty affairs, finance, strategy, project management, process improvement, facilities and equipment management, coordination of regulatory affairs, grants administration, team training and supervision, space oversight, and change management.

    Responsibilities

    General Division Operations:

    • Support the AVP in managing the general administration of the Division and its research programs.
    • Serve as a liaison between research scientists and administration to support the Division and Fred Hutch. Provide advice and support to faculty, staff and other Hutch administrative and leadership groups as requested.
    • Represent the Division on Hutch-wide processes and administrative committees as designated by the AVP.
    • With the support of other Division administrative staff and in partnership with the AVP, ensure Division events, seminars and other activities are planned and executed in a timely manner and within budget to the satisfaction of Senior Vice President & Division Director (SVP/Division Director). 


    Faculty Affairs:

    • Serve as a Division resource for faculty recruitment process.
    • Work with AVP and SVP/Division Director to ensure compliance with Hutch financial conflict of interest policies and procedures.
    • With the guidance of AVP, manage Faculty Review Process in accordance with Fred Hutch's academic policy and supplemental Division policies and procedures.


    Facilities and Equipment:

    • Assist AVP and SVP/Division Director in managing office and lab space allocation, including building and renovations. Serve as administrative contact for Facilities projects and asset management.
      Participate in Division-wide planning and major equipment acquisitions.


    Finance:

    • Provide direct support to AVP and SVP/Division Director on financial management issues, including coordination of the preparation, management, and monitoring of the Division's annual budget. Serve as point-of-contact between Division Programs and Finance Department for the annual budget process.
    • Provide oversight and work with faculty and Research Administrators on Division-related funding sources, including faculty salary support, faculty salary cap, new development, bridge funding, faculty retention packages, unrecovered indirect costs, Division administration, and Division shared resources.
    • Participate in Division-wide short and long-term financial planning and new initiatives in conjunction with the AVP and SVP/Division Director.


    Strategy and Process/Project Management:

    • Participate in the development of strategic, operational, and business plans associated with the Division.
    • Independently manage and execute Division initiatives and projects as assigned by the AVP.
    • Advise or consult with Center leadership on changes to Center-wide policies/procedures; create implementation plans for the Division's Research Administration team in response to changing systems, processes, and regulatory requirements.
    • Collaborate with Division faculty and interface with other departments as needed on administrative and strategic planning relevant to Divisional goals. Advise PIs as appropriate regarding Division matters and develop effective solutions to ongoing or acute administrative issues.
    • Contribute to continuous improvement mindset for Division operations (identifying process issues, planning, and executing solutions, and evaluating outcomes).


    Grants Administration:

    • Perform research administration duties for one or more principal investigators as needed; plan for and ensure compliant and effective funding, budget, and regulatory administration, and general administrative support.
    • Work autonomously to complete non-scientific grant content and tasks, updating as needed and appropriate for Division-wide use.
    • Advise faculty and Research Administrators on best practices; interface with central administrative departments (OSR, IRO, etc.) to align communications around new policies/processes (Federal, institutional, or otherwise).


    Team Training and Supervision:

    • Hire, manage, and mentor Research Administration staff, providing guidance and ensuring proper training and professional development.
    • Partner with the AVP to develop the strategy, build-up and maintenance of the staffing support and development model for faculty.


    Qualifications

    • A bachelor's degree or equivalent experience is required.
    • A minimum of eight years of progressively responsible administrative management experience, including grant and contract budgeting; supervision; and planning in a healthcare, research, biotech, or governmental agency environment is required.
    • Experience with the NIH grants system is required as is multi-project grant experience with a wide variety of funding sources.
    • The ability to analyze and interpret regulations, determine impact, and manage change. Knowledge and high-level experience in research administration, strategic planning, and business practices are necessary.
    • The ability to manage a diverse team, think creatively and globally, project future needs, and be attuned to day-to-day Division operations is critical to success in this position.
    • Excellent interpersonal and communication skills, both verbal and written, are essential to this position.
    • The successful candidate will be responsive to the needs of both the Division and the Fred Hutch mission and promote excellence in science and research administration.
