  • 1.  AAALAC Animal Usage Report

    I have a question for AAALAC accredited institutions, using Cayuse Animal Oversight.

    Do you you all provide AAALAC site visitors with your list of protocols using their appendix 5 template?
    (Attached here).
    I am wondering if anyone has used a report that can be pulled directly from Cayuse that has been acceptable to AAALAC?
    Do you all compile the required information using the various "AAALAC compliance reports" available in Cayuse?
    Or give them multiple reports?

    I currently keep a separate database so that I can easily generate this report for AAALAC.
    I would like to get away from this, but I am having a hard time deciding whether or not this is the easiest option.
    I am curious about what everyone else is doing.

    Any tips or insights are appreciated.

    Hi Lisa,

    These are great questions :)

    We prepare an Excel file, using the AAALAC template to guide formatting.  I export a "List of Protocol Species Report" (Filters:  Protocol Status:Equals:Approved (w/o Stipulation) & Current Protocol:√) to generate the list of the protocols that includes the details for the first 6 columns.  The AAALAC Compliance Reports provide some (but not all, alas) of the necessary details for the Special Considerations columns.

    Some issues (in the version we use):
    • The Surgery report does not clearly indicate which are survival vs. non-survival (also, if there are any multiple survival surgeries planned, it identifies all surgeries on the protocol as associated with MSS, even if they aren't)
    • There is no report available for food/fluid restriction
    • There is no report available that indicates whether or not protocols contain the "Protocol Housing Outside Central Facility" section
    For those items, I've found it "easier" to just keep a separate Excel file that lists each protocol and includes similar columns, updating it as relevant details are newly approved.  The catch is that one needs to keep up with it and not forget to ongoingly update it, which can be difficult when juggling numerous other responsibilities under tight deadlines :/

    Improving the AAALAC Compliance Report feature to better align with AAALAC reporting expectations is an enhancement that I and others have suggested :)

    Thanks Cheryl, sounds like we have exactly the same issues and are dealing with it in pretty much the same way.
    I'm kind of reassured that I wasn't missing something obvious but a little frustrated that this isn't more efficient.
    We had Cayuse look into creating this AAALAC report for us, unfortunately it wasn't within our budget right now,
    but it sounded like they could have done it.
    It would be nice to see it  added as an enhancement out-of-the-box .

    Another (slightly labor intensive) way that I improve my ability to search protocols for details that aren't reportable is to generate PDF files of the previews of approved protocols.  I can then do a file contents search for keywords.  The catch is that keywords that appear in the questionnaire itself are fairly useless--unless they are from animated questions that only appear when what I'm searching for has been selected, in which case I use excerpts of those questions as my keywords.

    I also think that it would be extremely helpful and very efficient if Cayuse support could replicate the AAALAC form.

    Don't feel alone, we also found the reporting tools to be woefully lackluster in regards to AAALAC - when compared to our previous software. Unfortunately, it was one of the details we failed to check during the software evaluation. With it being such an important oversight agency, you would expect to have the built-in reporting match the AAALAC reporting criteria.  

    Currently, we're having to build an entire reporting suite using Microsoft's Power BI, in house... to restore the reporting functionality that we had prior to Cayuse - next, we plan to make a series of heatmaps and other floorplan overlays.

    I'm a bit late to the party on this.  I want to share that Odessa Reilly of Cayuse and I are preparing a presentation about searching and reporting within the institutional protocol database of Animal Oversight for the conference in September.  Lisa, I'm thinking about how we can incorporate your post (and subsequent comments) and idea into the talk.  Good timing!
