    Hi all,

    This question was shared with me by @Sharon Ince: "Do you know if there are any examples of how to integrate a few questions into the grant application process such as needing a data management plan or types of IT resources that are needed?  I would be interested in knowing how other universities handle these types of questions or series of questions."

    Does anyone have examples, suggestions, or insight they can share? Thanks!

    At UA, we do not ask those questions directly in the IPF, however, I could see how you could do that with possibly the "other project information" section if you are not already using that section.  We have tried to use the headers for each section in the IPF to include links to more information that we would like the PI's to have access to while they are completing their IPF and starting to plan work on their proposal.  The idea behind that approach is that the PI's shouldn't have to look in multiple places for information pertaining to tools useful to their proposal. We want them to view Cayuse as a way to achieve multiple objectives for the time they are using it.  If they can click a link within Cayuse to get to the information they need, it is less burdensome to them to seek the information. We are currently working on changing our website so our links are limited right now but we will be adding more as our website is finalized.   There is also training involved by each Grant Specialist to remind the PI's that information is available (or will be) within the IPF.

    We made a couple of changes to the IPF layout at implementation for some of these issues.  For instance, we added a resources question on the budget:


    We also "hijacked" a complete tab of the IPF to gather specific cancer-relevance information for our P30:


    As I understand, when you transition to the Platform, the ways to gather such information is greatly expanded.

    Lisa, I like what you did with the budget question!  Who monitors the answers to that question and what is the follow-up to them?  I'm just trying to think about how we could use something similar and what the follow-up would be.

    Thanks, Jennifer.  Since our whole institution is the size of a university department (50-60 faculty total), we have a more hands-on approach than some:  Our central-office Grant Administrators are the IPF approvers.  If the resource question is answered yes, depending on the resource, they either add the relevant unit (animal resources, Chief Science Officer, etc) to the authorization chain (if there's time), or email the link to the IPF to the relevant unit requesting authorization/clearance.  If it is emailed, we upload the return authorization to the attachments section.  We follow the same process if the IPF indicates there is potential IP or Export Control.

    This is one thing that's going to make life easier when we move to the Platform: Smart Forms.  No manual routing; hierarchical answers to structured IPF questions will add those who must authorize (or at least be notified).
