We are currently about to go live with Cayuse, so I don't really have any practical experience. But this will be the 4th electronic system for IRB I will have used. I have seen many different ways minutes have been handled. I am really liking many features of Cayuse. Minutes is not really one of them.
I have found it is very helpful in writing minutes to have text boxes preset for each of the regulatory requirements of minutes for each study: Controverted Issues, Special Determinations, and Basis for Revisions. These will have to be manually combined into the findings field. There should also be a Vote Details for each study. I plan on re-tasking the Recused field for this purpose. There are often vote details that we need to record for each study that encompasses more than just recused.
I would like to see the addition of text field options to the main set of minutes. I believe there is just a general Notes field that I will need to task for the recording of minutes for non-protocol based items. It would be most helpful to have text boxes for the most common items that many IRBs have on their agenda: Approval of Minutes, Member Training, and Policy & Procedure Review. We also use Approval of Notice to Committee. Then we could utilize the general Notes field to record our basic statements that we make on every set of minutes regarding conflicts of interest reminders, access to meeting materials, verification of composition of the meeting (non-scientists, etc.), and announcements. At this time, I will need to utilize the notes field to record everything manually.
The minutes set-up in not horrible, but it is clearly as not as well thought out as other sections in Cayuse. It's still doable and I'll be able to re-task sections to complete what I need done.

We are relatively new (September 2021) new users of Human Ethics. I am still struggling with minutes - both how to document protocol reviews and approval of minutes in Cayuse.
For example, how are other users using the "researcher notes," "findings," and "other" fields in the protocol record? And how might that relate to the minutes?
For background, we have on average 6 full board protocols a year and no federal funding. Mostly our board meetings are reporting of expedited and exempt and cont ed.
One suggestion I have received for minutes approval is to give Board members until a few days before the next meeting to review/suggest changes and if none are received then the minutes are approved.
I would appreciate any samples or SOPs.
